POSITION SUMMARY:


The Administrative Assistant (Temporary) is responsible for providing general office functions as well as assisting the Support Center teams/Departments with specific tasks. The person in this role must maintain a professional appearance, decorum, and confidentiality at all times.


KEY FUNCTIONS & RESPONSIBILITIES:


+ Works directly with the Administrative Services Director in performing a variety of clerical duties as requested.


+ C omposes and edits professional correspondence and reports without dictation.


+ Maintains the highest degree of accuracy, quality, and efficiency.


+ Responsible for general office management duties, preparing meeting agendas and taking minutes, maintaining files, preparing reports as needed, participating in special projects, and other related duties.


+ Assist in the managing contract database


+ Maintain confidentiality and use discretion in all interactions.


+ Assist with administrative systems within the office as needed and directed.


+ Prioritize and manage multiple projects simultaneously and follow through on issues independently and in a timely manner.


+ Respond to routine correspondence and field a variety of inquiries via email and telephone


+ Assist with maintaining the staff directory and triage list.


+ Edit and format documents and presentations for the Senior Staff as needed.


+ Provide backup support to the Executive Assistant (EA) by processing and distributing mail and faxes.


+ Demonstrate an enthusiastic, welcoming, quick and responsive attitude with all staff, patients, and visitors in person, on the phone, or electronically to help set a positive tone throughout CCI.


+ Assist Facilities Manager for Support Center, Facilities ticketing system, data entry, Inventory, Assisting with files, and document creation.


+ Provide document management for various Support Center Teams, legal department, and Senior Staff


+ Assist the Senior Leadership team in various projects, tasks, and initiatives as assigned.


+ General skills in managing electronic files


+ Calendar support for some senior staff


+ Some experience with legal administration, preferred


+ Working on-site is an essential duty for the job


+ Other duties as assigned


MINIMUM QUALIFICATIONS :


+ High School diploma, 4-year college degree preferred.


+ Three (3) years' experience with providing shared administrative support to multiple individuals across varied disciplines, departments, and functions.


+ Demonstrated skill handling issues involving high levels of sensitivity and confidentiality


+ Demonstrated good judgment


+ Detail-oriented; organized planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility


+ Skilled at anticipating problems, creating contingency plans, managing multiple priorities, problem-solving, and organizing logistics.


+ Ability to persuade and influence, establish personal credibility and trust, and foster collaborative working relationships


+ Proficient in MS Office, including Word, Excel, PowerPoint, and Outlook.


+ Strong communication, listening, interpersonal, oral, and written communication skills. Proficiency in Spanish a plus.


+ Working on-site is an essential duty for the job.
