We are seeking an energetic professional to join our Business Support Services Department. In this role you will provide administrative and project support to several areas of our organization. Reception desk responsibilities are a focus of this highly visible role in addition to the organization and distribution of mail.
We Seek a Candidate Who:
-Has experience in an administrative setting with a focus on mail and receptionist desk experience.
-Is outgoing, welcoming and engaging with visitors to our office.
-Has a professional and helpful phone presence.
-Is a quick learner and adaptable to new office technologies including insurance agency specific software as well as Microsoft Office programs.
-Has a helpful and creative attitude towards getting work done.
-Is willing to step up and go outside of their comfort zone to help other departments.
-Is able to work as part of a team and also independently.
-Has excellent organizational skills with the ability to manage multiple tasks efficiently
-Has experience in problem solving with office equipment (copier, fax, postage machine, etc.)
Essential Duties & Responsibilities:
-Greet and assist clients, customers, and guests in a professional and courteous manner.
-Answer the multi-line phone promptly, take phone messages if necessary, and when applicable follow up on inquiries. Route calls accurately per agency group guidelines.
-Work on carrier websites to input necessary documents.
-Provide clerical assistance as assigned, including but not limited to:
-Printing and assembling color projects
-Data entry in agency management system as required.
-Participate in seminars and classes for skill and knowledge development.
-Adhere to and comply with established agency procedures and performance standards.
-Once manually sorted, scan documents timely and at a high accuracy rate while performing mandatory quality control checks.
-Provide support to the Business & Personal Insurance department, as needed.
-Exhibit respect for the confidentiality of position.
