Payroll Specialist/Accounting Assistant


This position is responsible all payroll related functions within the agency. The incumbent must have working knowledge of Local, State and Federal laws and regulations regarding payroll issues, be proficient in Quick Books accounting software and MS office, and uses effective communication, interpersonal and leadership skills to promote positive group operations and relationships. Also performs other assigned general accounting duties.

This position is also responsible for all payroll related functions within the agency.


· Review timekeeping system for completeness and accuracy; enter any payroll changes and mileage; and prepare batch for outside payroll service (Payday Payroll; for the entire company on a twice monthly basis

· Send all garnishments to PayDay Payroll for processing

· Updates payroll records by entering changes in exemptions, insurance and other benefit deductions, job title, workers comp codes, and program transfers

· Maintain separate records as it relates to government contracts and our union

· Resolves payroll discrepancies by collecting and analyzing information

· Timely response to management and/or other employees on payroll inquires or reports requested

· Provides payroll orientation to new hires

· Assist with ensuring that all operations of the Payroll section are administered in accordance with the organization's policies, principles, and procedures; report any needed changes

· Assists in preparing and reviewing reports for internal and external groups

· Maintain employee confidence and protect payroll operations by keeping information confidential

· lnterface with the outside payroll service, PayDay Payroll in a professional manner

· Perform other accounting duties assigned such as accounts payable, bank reconciliations and/or credit card transactions


To be considered for this position, the candidate should possess the following qualifications:

· A minimum of 3 years of related experience in: Accounting and Financial Reporting

· Must have working knowledge of Local, state and Federal laws and regulations regarding payroll issues (taxes, garnishments, child support, etc.)

· Must have solid skills in QuickBooks

· Must have strong (highly proficient) Microsoft Excel skills 

· Must have  payroll experience in an organization with 250+ employees

· lncumbent will maintain a high level of interaction with internal and external constituents and must have strong written and oral communication skills

· Able to compose well-written financial analysis notes, policies and procedures and correspondences. This includes but is not limited to: proper spelling, punctuation and grammatically correct sentence structure that express occurrences in a concise and logical manner


· The incumbent should display self-initiative, is detail oriented and is a highly organized and efficient team player.

· Able to maintain a positive and cooperative relationship with other departments within the company, with other groups within the department, and with outside vendors as necessary to ensure efficient, safe, and quality operations, along with maintaining a high level of accuracy in preparing and entering financial reporting data.

· While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; talk or hear. The employee is frequently required to stand and walk. The employee is occasionally required to sit; climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 15 pounds.

Mission of the Position: The Direct Support Professional (DSP) provides direct support to individuals in all aspects of their home lives. DSPs are responsible for providing support to the individuals receiving services. They utilize teachable moments and methods, as instructed by Community Alternatives, to assist the individuals in all aspects of daily home life with a primary goal of keeping individuals safe while supporting community inclusion.
