Position Title: Grant Accountant Rent Assistance

Position Summary

Community Advocates holds government and private contracts to assist individuals and families who have experienced financial hardship with a variety of financial assistance that includes rent, rent arrears, utility assistance, security deposit, and first month's rent.

The Grant Accountant supports the Accounting Department by overseeing direct aid rental aid assistance payments, reports and reconciliations for the federal Emergency Rental Assistance program. This team member is responsible for supervising and coordinating the activities of the accounts payable data entry of rent assistance, preparing reports and data analysis related to our rent assistance programs and other administrative duties. The Grant Accountant also performs a variety of general administrative duties related to accounting. Responsibilities include general ledger account reconciliations and reviewing payroll labor allocations.

Essential Duties & Responsibilities

Oversee direct aid payment processing
  • Providing supervision of Rental Payment Processor team
  • Assist with updating and communication of fiscal policies and procedures related to the rental assistance programs and ensure compliance by agency staff.
  • Review all invoices/check requests for appropriate documentation and approval prior to payment
  • Provide timely communication and response to inquiries from landlords/vendors

Perform tracking and reporting
  • Preparing monthly and quarterly invoices for rental assistance grants including the Milwaukee and Waukesha County Eviction prevention grants
  • Preparing weekly reports on number and amount of checks processed by grant
  • Forecasting pending check requests to ensure availability of funds
  • Reconciling rental assistance payments ledger detail, research and correct discrepancies
  • Maintaining files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Assisting in month end closing

Perform General Ledger Bookkeeping
  • Account reconciliations
  • Journal entry preparation
  • Gather and review grant match documentations when necessary
  • Other duties as assigned

Skills & Qualifications
  • Proficiency using MS Office including intermediate level experience using MS Excel (Pivot Tables, VLookup, Filters, Functions, Etc). Ability to manipulate, sort and summarize large data sets.
  • High level of efficiency and accuracy.
  • Impeccable attention to detail and ability to analyze data.
  • Excellent verbal and written communication skills.

Education & Experience Requirements
  • Associate or Bachelor's degree in accounting or finance
  • 2+ years of general accounting experience
  • 2+ years serving in a supervisory role related to finance
  • Non-profit experience preferred, but not required
