Auecor is seeking an experienced administrative management professional with exceptional relationship-building and communication skills, that takes pride in the success of a growing business and thrives in a role that pushes them to keep learning, growing, and advancing improvements. The executive assistant is expected to lead by example and perform their job in a manner that is consistent with exceptional communication, attention to detail, high morale, and high productivity.
Key Roles & Responsibilities:
- Collaborates with Department Directors and CEO to provide the support that can be offered to free up their time.
- Assist with answering incoming calls, and provide responsive and courteous service to callers by providing information or routing them to the appropriate party as needed.
- Assist the owner as needed and perform duties across the Auecor (parent company) family of businesses.
- Collect, sort, and correctly distribute incoming mail and packages.
- Perform general clerical duties and office support, including but not limited to photocopying, faxing, mail distribution, and filing.
- Coordinate events, meetings, and conferences with cross-functional departments; prepare agendas and set up meeting facilities as needed.
- Schedule and perform new hire orientations.
- Actively participate, coordinate, and assist in employee recognition programs and events.
- Follow all company policies and procedures.
- Create and/or approve purchase orders as required.
- Manage vendor relationships and accounts payable and receivables processes.
- Manage expense reporting process.
- Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.
- Communicates with the general staff on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally.
- Communicates directly and on behalf of the CEO's with employees, vendors, and other key personnel.
- Conducts research on prospective projects.
- Drafts reports, letters of solicitation, and proposals; prepares and coordinates oral and written communication.
- Administratively supports Directors (recruiting support, documents formatting, surveys set up, and other administrative tasks), and drafts emails and other correspondence as directed.
- Serves as the president’s administrative liaison on various committees and/or organizations.
- Coordinates meetings, dinners, staff lunches, receptions, and new employee orientations; and processing travel requests.
- Provide assistance as needed to the sales and ops department including but not limited to, answering phones, accepting packages and other deliveries, lunchtime relief, and greeting and signing in visitors/guests.
- Performs other duties as assigned.

Qualifications
- Must have prior office administration experience and strong organizational and communication skills.
- Prior Human Resources experience is highly desired and a definite plus.
- Good computer skills, with a working knowledge of the primary Microsoft Office 365 and Google applications/programs; experience working within cloud-based system.
- Must have proven diplomacy, confidentiality, and interpersonal skills and the capacity to work under pressure
- Small business success-minded; ability to build relationships of credibility and trust.
- Highly autonomous and self-motivated; great instincts and sound judgment.
- Dedicated to learning, correcting, solving, and continuously advancing improvement.
- Effective comprehension and communications skills, open to and inviting to collaboration.

- Must complete work on scheduled deadlines.

Additional Requirements:
- An associate or Bachelor’s Degree is preferred.
