QUALIFICATIONS
Excellent analytical skills, diligent, and attention to detail. Ability to work with minimal supervision. Excellent people skills, flexibility, program knowledge, patience, creativity, diplomacy, stability, leadership. Excellent communication skills both verbal and written. Knowledge of Microsoft Word, Excel, internet and email applications. Preferred experience in a mental health setting working with adult patients, ages 18+. Knowledge and understanding of psychiatric diagnosis, terminology, and medical record charting basics. Detail oriented, good organizational and interpersonal skills. Ability to use personal computer for word processing. Must complete CPR and MAB within 90 days of hire.

PHYSICAL DEMANDS
Frequent sitting for long periods of time. Occasional walking, standing, bending, and reaching. Occasional lifting up to 10 pounds. Occasional pulling and pushing up to 20 pounds. Corrected vision and hearing to normal range. Finger dexterity. Occasional exposure to stressful situations.


WORKING CONDITIONS
Office environment. Occasional exposure to noise, cold, and heat. Occasional stressful situations to manage.

MAJOR TASKS, DUTIES AND RESPONSIBILITIES
(All duties listed below are essential to the job.)
General Staff Accountability

 Provides appropriate notice prior to vacation/time off and notifies supervisor a minimum of two hours prior to shift when unable to come to work.
 Observes allotted break and meal periods as prescribed by Hospital Policy and follows time card procedures by accurately writing in and out.
 Attends to personal affairs to avoid any interference with productivity.
 Adheres to the Dress Code.
 Demonstrates an understanding of their personal role in the case of fire/disaster and participates in Performance Improvement activities.
 Functions with an awareness of patient safety issues and applies basic principles of safety as identified within the facility.
 Follows the occurrence reporting policy and procedure in reporting any potential safety issues.

Job Specific Duties
 Effectively reconciles hospital billing with the documentation in the patient’s medical record, including but not limited to, the internal month claims audits; Audits are to be completed accurately and timely.
 Completes all typing assignments accurately and timely.
 Assembles charts and files chart forms accurately and timely.
 Maintains master copy file accurately.
 Completes any searches or researches in an accurate and complete manner.
 Accurately responds to and/or takes and relays telephone calls.
 Consistently shows attention to all appropriate details.
 Answers inquiries, or refers them to others, properly and accurately.
 Promptly and properly receives all visitors.
 Consistently keeps filing, logging, record keeping, calendar, patient charts and any projects current and in proper order.
 Demonstrates thorough knowledge of grammar, spelling, punctuation and composition.
 Effectively demonstrates understanding of hospital organization, operations, policies, and procedures.
 Effectively sets up appropriate office systems.
 Effectively coordinates with case manager / therapist regarding completion of treatment plan, progress notes and discharge plans on a regular basis; ensures the patient’s proper level of care is indicated in the physician documentation and computerized system.
 Effectively provides the Program Director with reports indicating completed and delinquent progress notes (daily), treatment plans (monthly), and discharge plans (monthly)
 Effectively maintains consistent communication with the Clinical Coordinator / Program Director regarding any omissions or incomplete areas of the medical records and follows up to ensure correction of problem areas.
 Effectively coordinates with the physician and the case manager weekly to discuss the patient plan of care.
 Effectively demonstrates a working knowledge of guidelines and policies as it pertains to admission criteria and medical necessity for continued treatment.
 Effectively completes daily duties and special projects accurately and timely.
 Effectively assists with orientation of new employees in department.
 Effectively performs additional duties and responsibilities as position requires
