Real Estate Branch, Agent Support Services - Listings and Accounting

You could be an integral part of a dedicated and fun team in in-city Capitol Hill branch office. We have an opening for a Full-Time employee to provide Agent Support Services – Listings and Accounting for our Capitol Hill Branch office.

The Agent Support Services – Listings & Accounting role is responsible for facilitating innovative, timely and effective support for Coldwell Banker Bain Agents, so they may provide full service customer support excellence to meet the needs of our clients. Duties will include reception, administrative, technology, listing related activities, organization, and day-to-day office operations and more.

What we'd like you to do:

Administrative/Reception/Office Operations

· Open & close office, including lights, phones, other office equipment, unlocking & locking appropriate cabinets & doors, etc.

· Greet guests in a prompt, positive, professional & friendly manner.

· Triage incoming questions and calls. Provide callers with information such as address, directions, phone numbers, company website & other related information.

· Develop & maintain proficiency in all applicable office processes & systems to effectively implement & manage procedures & systems to ensure well-organized day-to-day operations.

Agent Support

· Provide excellent customer service to agents to facilitate their success in serving our clients.

· Train new agents on all company tools available to them.

· Provide back up support to the primary team member responsible for the following:

o Assist with new agent orientations by ensuring the following activities are completed: set-up of work station & technology needs,

orientation to facility, equipment & safety practices, review of company policies, and completion of new agent paperwork.

o Give new agent on-boarding paperwork.

o Complete on-boarding checklist for new agents and their staff (assistants).

o Submit User Account Notice and notify user accounts of any additions or changes.

Listings Support

· Enter listing into the MLS. Upload/attach documents, photos & virtual tours.

· Ensure listings comply with MLS rules & regulations. Check listings for Fair Housing "Danger Words."

· Provide back-up support with Centralized Transaction Team for agent requests.

Sales Support

· Update the MLS with status changes.

· Process earnest money

Marketing Support

· Provide back up support to the primary team member responsible for the following:

o Stay abreast of Company Marketing campaigns/initiatives & ensure timely delivery/communication to agents. Assist agents with follow-

up, including customization of campaign materials.

o Assist agents with creating & preparing general marketing collateral (i.e. flyers, postcards, etc.). Know and adhere to corporate brand

standards, MLS rules, and state licensing requirements.

o Troubleshoot basic issues with marketing tools & escalate unresolved issues to the company marketing department.

o Order & stock branded marketing material, including agent signage.

o Assemble listing & sales packets as needed.

Branch Accounting Support

· Collect, code, & submit vendor invoices for PMB approval & payment.

· Ensure that agents are correctly rebilled for incurred expenses.

· Review Agent A/R statements monthly.

· Copy & code agent A/R payments and forward to corporate Accounting Department as received.

· Troubleshoot agent A/R billing discrepancies as needed.

· Research and follow-up on all business rules as requested by Accounting Department.

· Provide reports from Profit Power as requested by PMB.

Education & Experience

· High school diploma or equivalent required. Associates degree preferred.

· Minimum of 2 years in a professional office environment required.

· Real estate office experience preferred.

Computer Skills/Proficiency

· Good knowledge of Windows operating system, Microsoft Office Suite.

· Ability to troubleshoot basic issues and train others on basic and intermediate skills.

· Knowledge of Adobe products, social media and real estate specific software preferred.
