Position Overview / The executive assistant will work closely with Close Up senior leadership to support their activities and the goals of the Foundation. This person will work 35 hours per week to coordinate and prepare materials for meetings and events, draft and edit correspondence, complete expense reports, maintain records, and handle scheduling for Close Up's chief executive officer, chief external affairs officer, and chief financial officer. The ideal candidate demonstrates excellent judgment and is highly organized, detail-oriented, and a great multi-tasker.

This position is based in Arlington, Virginia and must report to the office.

  • Organize, coordinate, and manage meetings for executives (such as meetings of the Close Up Board of Directors), including all scheduling details.
  • Prepare and distribute materials for meetings and Foundation events.
  • Conduct research and collect and analyze data to assist with the preparation of reports.
  • Maintain records and compile briefing books with materials pertaining to upcoming meetings, sharing such records with relevant stakeholders as necessary.
  • Draft, edit, and proof executive correspondence.
  • Reconcile, process, and complete executive expense reports.
  • Handle sensitive issues that require confidentiality.
  • Record minutes, maintain documentation, and prepare materials for Board meetings.
  • Complete other duties as directed.

  • Bachelor's degree from an accredited four-year college or university.
  • At least three years of professional experience as an administrative assistant.
  • Excellent skills in writing, communication, and active listening.
  • The ability to multitask, prioritize, coordinate, and collaborate with a positive attitude.
  • Experience with collecting and analyzing data.
  • Proficiency in MS Outlook, MS Word, and MS Excel.
  • Authorized to work in the United States for any employer.
  • Proof of COVID-19 vaccination as required by company policy.
