Job Description
Position Summary: 


The Dental Practice Manager is the liaison between administration and the dental offices.  The Office Manager will perform a variety of duties and training for the dental staff.  Attend meeting and participate in selected committees.  Review and correct daily production and billing for proper reporting.   Follow up on Incident Reports, Injuries, Refund Request, and Orders for the Dental Department. 


The Dental Practice Manager supports Clinica Sierra Vista Production System and promotes culture transformation to improve health outcomes, improve the patient experience, and reduce waste.


Essential Management Functions:


  1. Embraces and promotes the organization’s strategic plan and Clinica Sierra Vista Production System (CSVPS).   Champions and demonstrates the values, mission, and vision of CSV, always putting the patient first.
  2. Review and organize office operations and procedures.
  3. Verify scheduling policies and protocols and recommend new ways to improve efficiency.
  4. Develop and recommend programs to improve office operations, patient retentions, and appointment availability.
  5. Responsible for training front and back staff and orientation of new hires.
  6. Manage employee relations and make sure staff have the necessary resources and support. 
  7. Assist dental staff by facilitating the purchase of dental equipment, tools, and supplies.
  8. Manage procurement of general office supplies and equipment.
  9. Complete and submit employee evaluations to Human Resources.
  10. Determine and maintain efficient staffing levels and create monthly work schedules.
  11. Work with HR to access, investigate and resolve employee issues and complaints.
  12. Review employee time sheets and validate hours worked.
  13. Maintain an office environment that ensures optimal patient care and customer service.
  14. Maintain advanced knowledge of software systems to compile, store and retrieve data for administrations reporting.
  15. Ensure compliance will all relevantly state dental laws.
  16. Ensure compliance with office and company policy and procedures.
  17. Facilitate staff meetings and communication of office systems.
  18. Appropriately recognize clinical management issues and bring to appropriate clinical leadership. 


Front Office Function:

  1. Observe staff customer service, handle patient complaints, address and resolve employee problems, as well as patients.
  2. Responsible for knowing the billing system and policies involving the preparation and input of information to patient accounts and able to explain such information to patients.
  3. Manage specialist referral process.
  4. Provide patient education materials.
  5. Provide staff support as needed.


Back Office Functions:

  1. Oversee all logs initiated within the Dental Department and delegate assistants to maintain various logs at each site.
  2. Assist in overseeing the sterilization, infection control practices, and OSHA compliance within the dental department.
  3. Maintain facilities and equipment in accordance with Joint Commission and other safety regulations, including OSHA.
  4. Provide staff support as needed.



Other Responsibilities:


  1. Must participate in Jumpstart, Kaizen Event, Rapid Process Improvement Workshop, and/or any performance improvement initiatives that will result in quality health outcomes.
  2. Other duties as required.





  1. Associate degree (AA/AS) or equivalent from a two-year college or technical school preferred; or two to five years’ experience and/or training; or equivalent combination of education and experience required.
  2. Certified as a Dental Assistant (RDA) or three years recent experience as a dental assistant and two years’ experience as a dental office manager.
  3. Demonstrated knowledge in human resource management and employment laws.
  4. The ability to read, analyze and interpret standard financial reports, and legal documents.
  5. The ability to respond to common inquiries or complaints from patients, staff, regulatory agencies, or members of the business community.
  6. Ability to effectively present information to top management, co-workers, and staff.
  7. Excellent oral and written communication skills.
  8. The ability to apply sound and precise judgment when making decisions under pressure. 
  9. The ability to direct the work of others and work as a team leader in attainment of goals.
  10. Ability to apply fraction, percentages, ratios, and proportions to practical situations.
  11. Ability to operate office machines and computer workstations.
  12. Must have a valid driver’s license and clean DMV.
  13. Maintain CPR certification
