Clear Sky is seeking an exceptional candidate for a full-time Administrative Assistant position. The primary role of the Administrative Assistant is to support accounting/finance functions. Other responsibilities include sales order related tasks, HR and payroll administration, and solving client requests and issues via phone and e-mail. This candidate must have great communication, customer service and follow up skills to successfully work with co-workers and a wide variety of clients to solve problems and support the Company and client employees.

Primary Responsibilities:
- Perform financial and bookkeeping duties, including billing, payables, receivables and account reconciliation
- Billing - contract, standard, project, down payment, credit memos, etc.
- Bank deposits and credit card/ACH payment processing
- Assist CPA with credit card and bank reconciliations
- Purchase order creation and order processing
Secondary Responsibilities:
- Sales administration, quote and proposal creation and follow up
- HR administration and payroll processing
- Analyze, organize and improve office operations and procedures such as bookkeeping, preparation of payrolls, HR administration, information management, filing systems, requisition of supplies and other clerical services
- Onboarding and offboarding of employees
- CRM maintenance of Company, client contract data
- Improve business system software, processes and documentation effectively (currently, Quickbooks, ConnectWise and ConnectBooster)
- Generate reports for both financial and client information as requested by management
- Perform the RMA process to procure replacement products from manufacturers and vendors or refund
- General administrative duties and physical office management
Required Experience and Qualifications:
- Associate's degree or equivalent combination of education and experience
- QuickBooks: 3 years
- ConnectWise (or similar time/billing system): 3 years
- Bookkeeping: 3 years
- Billing: 3 years
- Purchasing: 2 years
- Administrative Support: 3 years
- Advanced proficiency level with Microsoft Office applications including Word, Excel and Outlook
- Proficient with QuickBooks and ConnectWise or similar service management (time and ticketing) system
- Clean and clear background check, including credit check

- Ability to handle sensitive information with discretion, discernment and confidentiality
- Ability to work independently and prioritize
- Excellent written and verbal communication skills

Required License or Certification:
