Job Description: You will be responsible, companywide, for providing customer service to and communicating with client members and prospective members, including interacting with member and prospective members to share the benefits of association membership and volunteerism. You and your team will provide information in response to inquiries about association products and services. You and your team will communicate with members and prospective members through weekly news emails and frequent e-blasts created with some assistance from volunteer leaders. You and your team also will manage and run member and prospective-member meetings, provide support to conference planners and serve as a member of on-site conference teams. You will learn our systems and assess our membership strengths and weaknesses, working closely with the Managing Director, the VP of Operations, and the Director Conferences. You will manage the membership department to achieve a high level of achievement while maintaining the company’s culture of freedom & responsibility.

You also will be responsible for the following;

Staff and Volunteer Management

Working with other key company personal to determine future staffing needs based on required skill sets that are necessary based on existing and potential new business

Hiring and training staff (within department) as required by Civica’s growth.

Supervising staff to include the allocation of projects, review of project action items and timeline management

Mentoring staff in order to ensure professional growth matches company’s overall goals (skill sets are staying in-line with client’s needs and company’s offerings)

Working with Civica’s key personnel to determine membership personnel needs based on what is specified in the client’s contract.

Supervising Civica staff, client volunteers, vendors and temporary staff as required.

Project Management

In conjunction with other directors (if appropriate) determining the main service areas of the contract and create a project plan to include; strategy, staff assignments, development of goals and objectives, timelines and a communication plan

Developing and managing timelines and budgets.

Participating in and/or overseeing vendor contract negotiations and vendor management

Creating industry partnerships with vendors in order to develop cost savings for Civica’s clients.

Attending necessary client meetings/calls to review timelines, budgets, next steps and to make sure client’s expectations are being met. Determine and oversee any necessary course corrections.

Incorporating industry best practices into membership to assist with increased membership rolls and engagement and increased ROI for the the client

Giving weekly employee-performance feedback to your direct reports through 15Five or a similar service.

Professional Growth / Business Development

Assisting in developing a team environment in which collaboration with other co-workers is the norm.

Participating in industry associations on the committee and/or board level

Attending industry educational events

Understanding and contribute to the company’s business development.

Assisting in the drafting of client proposals as well as the review of existing client proposals that contain any type of event.

You will directly participate in and supervise staff in the following activities:

Membership Duties

Monitoring, managing and disseminating incoming phone calls and email messages to appropriate staff.

Communicating with members/prospective members by telephone, email or in person to provide information about membership and the benefits.

Processing membership renewals/applications in appropriate web based management and tracking systems.

Updating and maintaining accurate database profiles for both members and non-members in association management software. This includes multiple processes, i.e., exporting, importing, formatting and testing for accuracy.

Updating websites with membership and event information as needed.

Fulfilling membership mailings and email distributions.

Researching business/company listings and employee information for membership outreach and data-gaps where needed and updating databases and other web based software.

Assisting with conferences and special projects. Conference duties include venue-selection support, site visits, conference registration customer service, conference marketing duties, program and website development and other duties as may be assigned by the Conference Planner.

Other duties as may be assigned.

Qualifications/Skills:

Their clients should be happy with their work. They must also obtain the consent of your managers. Because this is a temporary position, you will not be eligible for vacation. However, with your supervisor’s approval, you can choose to telecommute as necessary knowing, however, that your presence is mandated in the office and at varying locations when clients require it and for staff and personnel meetings.
