Definition of the position:
It is the primary role of the Administrative Assistant/Receptionist to manage the front lobby area and assist all customers and guests visiting Citynet. The Administrative Assistant/Receptionist will also provide assistance to the Citynet management team when called upon. Day to day tasks will generally include servicing customer walk-ins, facilitating communications throughout the company, electronic transmissions, supply inventories, data entry and retrieval, special preparations such as presentations, event planning, and arranging accommodations; it is this person’s duty to see that information is passed along in a clear, thorough and efficient manner. The Administrative Assistant/Receptionist assures employees have the resources necessary to complete their daily tasks.
Essential Functions and Responsibilities to the position:
Reception – The Administrative Assistant/Receptionist is responsible for greeting and assisting walk-in customers, visitors, testers, delivery personnel, etc., and seeing that they are properly assisted or directed to the appropriate person or location. A professional dress appearance is required.
Lead Test Proctor for Pearson and Kryterion Test Center – The Administrative Assistant/Receptionist is responsible for managing all operations of the testing center.
Clerical Duties – The Administrative Assistant/Receptionist is responsible for maintaining the office inventories, processing purchase orders and ordering supplies, coordinating building and equipment maintenance, drafting documents, processing outgoing mail and shipments, faxing, arranging accommodations, and helping to prepare for corporate events and meetings.
Sorting Mail and Processing Deliveries – The Administrative Assistant/Receptionist is responsible for picking up all mail and parcels at the Post Office daily, signing for deliveries, and sorting and distributing the items.
Bank Deposits and Reconciliation – The Administrative Assistant/Receptionist is responsible for providing Payroll support, processing customer payments, assisting the Billing Department with deposit reconciliation, report posting, check disbursement, and daily bank deposits when needed.
Administrative Support – The Administrative Assistant/Receptionist is responsible for providing support to members of the Citynet Management Team as well as Sales and Marketing by assisting with meetings, internal and external communications, and actively participating in multi-departmental committees including employee’s activities and recognition, and interdepartmental communications.
HR Support – The Administrative Assistant/Receptionist will support HR with a variety of related responsibilities.
Qualifications required for the position: *
A two-year degree in Secretarial Sciences, Business Management, or a related field, or the equivalence in experience is preferred. Word processing, computer skills, and excellent communication skills are essential, as well as knowledge of standard office equipment. A valid driver’s license is required.
Work Environment: *
This position resides primarily in a typical office environment where teamwork is a high priority.
