JOB SUMMARY

Reporting to the Director of Business Development, this position will play a pivotal role in supporting the CityVet Development team as it leads the growth of the company, executing an aggressive growth strategy which is bringing local veterinary hospital ownership to communities across the U.S. This multifaceted role involves providing administrative support to our business development efforts while efficiently coordinating travel arrangements for potential partners and the team. The successful candidate will be detail-oriented, responsive, organized, and able to handle a variety of tasks with precision and professionalism.

RESPONSIBILITIES & DUTIES
  • Travel coordination specifics:
  • Plan and book travel arrangements for potential partners, including flights, accommodations, and transportation
  • Prepare detailed itineraries and travel packs for business trips.
  • Monitor travel expenses and maintain accurate records for expense reporting.
  • Handle last-minute changes and emergencies during travel, providing swift solutions.
  • Order amenities and welcome baskets
  • Agenda creation and dissemination
  • Coordinate executive leadership calendars
  • Send and aggregate candidate approval surveys and responses
  • General Administrative Duties:
  • Organize and maintain business development and travel-related documents and files
  • Schedule and coordinate candidate meetings, client visits, and follow-ups.
  • Interact with potential candidates in planning and coordination throughout process
  • Work cross functionally with all development divisions and CityVet departments to help plan and coordinate and create a first-class experience
  • Assist in preparing and formatting proposals and presentations
  • Maintain and update customer relationship management (CRM) databases
  • Ensure accuracy and consistency of reporting across Business Development, Real Estate, and Design and Construction divisions
  • Help with market research, data collection, and competitive analysis
  • Prepare and distribute meeting agendas, presentations, and action items
  • Miscellaneous tasks as directed by Development Department leadership

  • Growth into roles with increasing levels of responsibility within the Business Development, Real Estate or Design and Construction divisions, as well as other CityVet departments
  • Leadership of direct reports to assist in development and growth of CityVet objectives

QUALIFICATIONS & SKILLS
  • 2-3 years of experience as an administrative assistant
  • Travel coordination/planning experience highly valued
  • Ability to occasionally work flexible hours based on the needs of the business
  • High school diploma or equivalent (associate or bachelor's degree preferred)
  • Proven experience as an administrative assistant, executive assistant, or in a similar role
  • Strong proficiency in Microsoft Office Suite and CRM software
  • Excellent organizational and time-management skills
  • Outstanding communication and interpersonal abilities
  • Detail-oriented and able to maintain a high degree of accuracy
  • Strong problem-solving skills and adaptability
  • Knowledge of travel coordination and booking systems (e.g., Concur, Expedia, etc.)
  • Ability to prioritize tasks and work independently
  • Discretion and the ability to handle sensitive information with confidentiality
