ADMINISTRATIVE SERVICES SPECIALIST Prescott Regional Airport Pay Grade: 107 Pay Range: $18.36 to $27.54/hour DOE FLSA Status: Non Exempt (eligible for overtime) Deadline to Apply: Open until filled, first review of applications will be on 8/27/21. Position Summary: The Prescott Reginal Airport Administrative Specialist provides customer service to both staff and the public; maintains databases; assists with processing and reconciling invoices, credit cards, etc.; schedules conference rooms; collects data, analyzes, and produces reports; and coordinates repair and maintenance of facilities/vehicles. Due to Special Events and Irregular Operations, employee may occasionally work irregular hours. Essential Duties: * Performs extensive work with City of Prescott databases including Munis, OnBase, and Lucity. * Reconciles invoices for accounts payable and receivables; tracks and purchases supplies; and maintains inventory for assigned area. * Manages and reconciles credit cards and financial statements for assigned area. * Depending on assigned area, assist with marketing, public relations, social media, and website development and maintenance. * Depending on assigned area, tracks airline service enplanements, operations, and cancelled flights. * Depending on assigned area, works collaboratively with staff to process requests for airfield access; manages rentals and waitlists; prepares agreements, contracts, and billing instructions; and assures contract compliance through inspections. * Answers incoming calls on the direct line and routes to the proper staff as needed. * Prepares professional reports and create summaries on data and trends from complex records. * Prepares, generates, and submits financial and statistical reports in compliance with any grant-funded programs. * Other duties are necessary as assigned. Qualifications: Education and/or Experience: High school graduate or equivalent; three (3) years of experience in performing basic City government specialist work, experience in statistical or intelligence analysis and research, experience in providing public relations and customer service, and/or experience in performing basic accounting or business practices; or any equivalent combination of education, experience, and training which provides the knowledge and abilities necessary to perform the essential functions of the position. Licensing, Certification, and Other Requirements: Be at least 18 years of age; be a United States citizen; possess a valid Arizona driver's license with a good driving record; pass a rigorous TSA-mandates 10-year security background investigation, pre-employment drug test, fingerprint background check, and other selection process criteria as determined by assigned area. Physical Demands And Working Conditions: * Work is performed primarily in an office setting. * Safely operates a City vehicle and variety of standard office equipment including a computer terminal, telephone, 10-key calculator, copier, and fax machine requiring continuous and repetitive arm, hand, and eye movement. * Requires working for extended periods of time at a keyboard or work stations. * Job duties required the ability to perceive and discriminate colors or shades, sounds, visual cues, or signals. * Work is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs.
