OBJECTIVE

The Manager of Vendor Services will manage City Wide's independent contractor program by identifying, screening, credentialing, and onboarding new independent contractors. This person will implement processes procedures to effectively recruit, on-board, and maintain documentation for janitorial and non-janitorial independent contractors. The Manager of Vendor Services works closely with the operations team (Account managers and Director of Operations) to keep them updated on the roster eligible and ineligible independent contractors. This position will also be responsible for other office administrative/sales activities.

ESSENTIAL FUNCTIONS
  • Hire sufficient ICs to services City Wide's janitorial and non-janitorial service accounts.
  • Manage all IC recruiting activities - online postings, e-mail advertising, direct mail advertising, and social media activities to ensure a consistent flow of new Independent Contractors candidates.
  • Conduct the initial vetting/screening of all prospective Independent Contractors - in office, at career fairs or remote locations.
  • Utilize the City Wide IC Checklist to complete Independent Contractor onboarding by collecting, verifying, and filing all required documentation for Independent Contractors compliance.
  • Enter and maintain Independent Contractors' records in CRM.
  • Inform Operations team of all new independent contractors to ensure they are placed in a timely manner.
  • Complete ongoing audits (30, 60, 90 days, 6 months, 1 year) of Independent Contractors files to ensure they are up to date and compliant with City Wide requirements.
  • Coordinate monthly IC pay day events with the Operations team.

  • Requirements

    POSITION REQUIREMENTS
  • Prior recruiting, or similar experience, highly desired
  • A self-starter with attention to detail and follow-up
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite

  • Working knowledge of Customer Relation Management (CRM)
  • Proficient with using social media to promote/recruit
  • Ability to speak Spanish is highly desired, but not a requirement

  • Essential duties and responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Essential duties include the following. Other duties may be assigned as needed.

    Vendor sourcing
  • Achieve daily, weekly and monthly metrics for activities identified for successful vendor sourcing
  • Set up, confirm and lead vendor orientation meetings
  • Independently manage and execute vendor on boarding process (paperwork)

  • Vendor compliance and database management
  • Manage vendor account records at all relationship types ensuring all data fields are populated with accurate information
  • Provide updated and new Advanced Find reports to Director of Operations and Operation team according to established protocol
  • Manage on-going vendor evaluation process
  • Manage all on-going vendor compliance documents and details to ensure they meet our established requirements and any client specific requirements. This includes but is not limited to current General Liability and Workers Compensation certificates of insurance, accurate back ground checks, badges and uniforms
  • Manage annual vendor agreement renewals

  • Vendor outreach and marketing
  • Execute ongoing vendor communication via our text marketing software for vendor payment day, invoice deadlines and other City Wide of Omaha information.
  • Complete email marketing campaigns to prospective vendors

  • Vendor preselection
  • Independently execute, in a timely manner, the established vendor pre selection process to match eligible vendors with specific opportunities.
  • On- going communication with vendors and internal Operations team surrounding the status of pre selection and the respective details.
  • Maintaining accurate and up to date monthly reports used in the selection process.
