Secretary/Office Administrator Job Description

The primary purpose of this part-time position is to provide clerical and administrative support to the Pastor, Congregation Council or other committees or individuals as assigned by the Council. The position requires strong attention to detail, the capability to communicate effectively both verbally and in writing, use of sound judgment, an ability to stay organized, flexibility, a strong work ethic and integrity. The Congregation Council is responsible for the appointment and supervision of this position.

Essential duties and responsibilities include:

- Be courteous and professional in all interactions.

- Perform a variety of clerical tasks, including filing, copying and general office work.

- Screen, route to the responsible person and respond to calls in a timely fashion.

- Make calls as required to perform duties or as assigned by the Pastor or by council or special committees.

- Keep phone message up to date and appropriate (e.g. hours of operation, worship service times, emergency contact, alternate contact if Pastor is unavailable)

- Screen, route or respond to e-mails and other written communication as appropriate in a timely fashion.

- Keep Pastor, Council President or Council liaisons informed of matters pertinent to their tasks.

- Prepare certificates for Confirmations, weddings, new members, and baptisms.

- Update Office Procedure Manual so that information as to the function of the church office is kept up to date and easily accessible.

- Update and distribute Membership Directory as directed upon annual review by Council with input from Pastor.

- Keep Congregational and other mailing and phone lists current throughout the year.

- Input weekly attendance details and assist Pastor as requested in maintaining membership records of the congregation electronically (Church Windows Program).

- Organize and back-up electronic files.

- Schedule and track use of facilities and all related executed agreements.

- Obtain current certificates of insurance for the church and all facilities users.

- As necessary, update any printed materials so that information is accurate and current (e.g. list of City of Fremont Tri-City Resources available, contacts, vendors, Facility Usage Forms, etc.)

- Maintain Agendas and Minutes of Council (monthly) and Congregation (annual) meetings.

- Compile ministry/committee reports for Congregational Meetings and create ballots if required.

- Maintain yearly Master Calendar for Council and Congregation.

- Serve as liaison for routine contract services.

- Assist in preparation for weekly and special Worship Services:

- Download liturgy script from Sundays and Seasons and convert for editing

- Modify script with downloaded information per template provided by Pastor

- Update Power Point template per the script and direction from Pastor

- Edit both script and Power Point as directed by Pastor

Requirements:

Combination of education and experience to provide knowledge, skills and ability to perform all essential duties.

High School degree (minimum)

Associate degree and/or course work/training in business administration or higher education

High level of proficiency in Microsoft Office Suite (Word, Excel, Power Point) and ability to learn new computer programs quickly.

Ability to use Zoom (currently being used for meetings and worship services).

Solid understanding of advanced bookkeeping and accounting principles.

3-5+ years secretarial/administrative experience.

Must enjoy working independently and in a team.

Work Authorization: United States

Fluency in English (including spelling, grammar and punctuation)

Background fingerprint check will be required as a condition of hire

6 - month probationary period

Working Environment and Physical Demands:

Ability to lift up to 30# and work at a computer station for 3 to 4 hours per day.

Ability to run errands associated with the position.

This is a small office environment - the only lay employee for the church.

No remote work.

Compensation: TBD based on qualifications/experience (range: $18 - $24/hr)

Part-Time: 16 hours/week (Monday thru Thursday) + 4 hours/month
