Provides administrative, organizational and clerical support to Vice President. Complete a broad variety of administrative and legal assistant tasks such as composing/preparing invoices, reports, memos, financial statements and legal documents (primarily contracts), using word processing, spreadsheet, database, and/or presentation software. Numerical and analytical ability is necessary to prepare statistical reports and other reports that require calculations and compilation of data and assist in preparation of departmental budget. Backs up other Executive Assistants as required and provides front desk coverage when necessary. May be asked to assist the VP in scheduling and preparing various meeting/special event materials. Provides secretarial back-up to the Administrative Staff by answering phones, cooperating with absence coverage of other secretaries, helping others when workload necessitates, and performs other miscellaneous duties as assigned. Attends in-service, educational programs, and other required meetings as directed. Acts as a customer service representative for CHMCA by promoting the "Spirit of Service" attitude, exhibiting the attitudes and behaviors that comprise the House Rules regarding greetings courtesy, respect, empathy, communications, privacy, silence, cooperation, appearance, confidentiality, initiative, and anticipation.
High school graduate with secretarial or associates degree preferred; minimum 3 years experience in administrative assistant or secretarial role; must have proficient secretarial and organizational skills, filing, keyboarding 55 wpm and ability to record and transcribe minutes and correspondence, personal computer skills essential with proficiency in word processing, spreadsheets, graphics, e-mail, and electronic calendar; must have excellent verbal and written communication skills and the ability to preserve confidentiality. Proficiency in the English language with excellent use of grammar and spelling is essential. Must have exceptional organizational skills, the ability to work with and adapt to various personalities at all levels of the organization and the ability to maintain security of corporate activities and confidential personnel actions. Must have the ability to work under stressful conditions in an appropriate and professional manner and be able to prioritize the responsibilities of a busy office.
Preferred Requirements: Associate or Bachelors degree.
