The Cedars-Sinai Inflammatory Bowel and Immunobiology Research Institute (IBIRI) is searching for a Senior Administrative Assistant. IBIRI is a multidisciplinary basic, translational and clinical research program devoted to Inflammatory Bowel Diseases. We are looking for someone well-organized to handle the day-to-day administrative responsibilities and support the Translational Director.
The incumbent should possess a strong focus on efficiency, time management, attention to detail, and the ability to think critically of the role's responsibilities. Successful candidates will have solid interpersonal skills and a professional manner and will be able to prioritize and manage multiple tasks while adhering to deadlines and exercising good judgment while remaining focused on details. Summary of Essential Job Duties: Performs basic clerical administrative and general office activities to support the facilitation of administrative workflow within the department.
The Senior Administrative Assistant may also support the organizational hub of our translational research group, providing support to our team of scientists with administrative tasks. Responsibilities include, but are not limited to the following: Calendar appointments, conference rooms and organizes travel arrangements for an individual, group or department. Provides general information to internal or external clients or customers, answers and directs phone calls, and routes inquiries to other departments in the organization as appropriate.
Distributes and disseminates information within the department and/or unit. Responsible for confidential and time-sensitive material. Coordinates meetings, conference calls and webinars.
Processing of travel reimbursements, petty cash, check requests and invoice payments. Formats and types correspondence, documents, memos, reports, meeting minutes and/or presentation materials. Scans or makes copies of correspondence or other printed materials and compiles basic reports.
Maintains records or department files. Replenishes and orders office supplies, may arrange for equipment maintenance. Assists with special projects as needed.
Backup for other administrative staff, when needed. May assist with research expense reports, monitoring budgets, and/or tracking invoice payments. May act as the Staff Development Advisory Network (SDAN), Safety Representative and/or Kronos editor within department and/or unit.
Educational Requirements: High School Diploma/GED required. Licenses/Certifications Requirements: N/A Experience: Two (2) years of office and administrative experience required. Ability to handle multiple demands and/or manage complex and competing priorities.
Ability to work within tight timeframes and meet strict deadlines. Ability to demonstrate time management and priority setting skills. Ability to use software applications and operate technological devices (e.g., computer, laptop, tablet, smartphone, etc.).
Proficiency with Microsoft Office Suite.
