Description

To ensure effective and efficient administrative functioning of the finance department tasks and assist the Chief Financial Officer (CFO) through accurate and supportive administrative activities and to ensure legal and contractual obligations are met.

Essential Duties

  • Plan, direct, and coordinate accounting operations to include accounts payable, receivables, and payroll to ensure adherence to policies, quality standards, deadlines, and proper procedures.
  • Initiate, manage, and coordinate efficient filing systems for accounting records; document management for efficient document retrieval for grants, auditors, and day-to-day tasks.
  • Assist the CFO in developing policy and procedure manuals, maintaining electronic and paper forms of same.
  • Evaluate processes for efficiency improvements and make recommendations to the CFO and management teams.
  • Supervise the administration of financial grants.
  • Participate in the work of subordinates to facilitate productivity or to overcome difficult aspects of work.
  • Coordinate grant management with advancement and finance departments.
  • Coordinate activities with other supervisory personnel, other work units, and departments.
  • Oversee the organization's payroll functions; implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, deductions, garnishments, taxes, and other deductions.
  • Ensure accurate and timely processing of payroll updates, including new hires, terminations, and pay rate changes.
  • Prepare and maintain accurate records and reports of payroll transactions.
  • Ensure compliance with federal, state, and local payroll, wage and hour laws, and best practices.
  • Coordinate with the human resources director to formulate policies and procedures for employee classification, orientation, compensation, and staff exit procedures.
  • Coordinate with the human resources director to ensure human resource data is accurate in Payroll/HR software system.
  • Develop and conduct payroll-related trainings for new and existing staff.
  • Ensure accurate payroll data is entered into the accounting software system.
  • Conduct periodic internal payroll audits by reviewing time sheets, wage computation, and other information to detect and reconcile payroll discrepancies. Issue and record adjustments to pay related to previous errors or retroactive increases.
  • Develop methods to improve policies, procedures, and practices regarding payroll and recommend changes to management. for internal procedures and for the employee handbook.
  • Make recommendations to management concerning such issues as staffing decisions or procedural changes.
  • Maintain knowledge of current payroll trends and state and federal regulations, and provide management with pertinent information vital to decision-making processes.

  • Knowledge of administrative and clerical procedures and systems, managing files and records, designing forms, and office procedures and terminology.
  • Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, and personnel information systems.
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.


Work Environment
  • A majority of the assigned duties are performed in an office environment.

Requirements

  • High School diploma/equivalency.
  • Minimum three years of payroll processing experience.
  • Minimum three years of accounting/accounts payable experience.
  • Minimum eight years of administrative and supervisory experience; experience in a nonprofit organization preferred.
  • Demonstrated knowledge and skill in problem solving, basic accounting principles, documentation, research and resolution, data analysis, and ability to multi-task.
  • Demonstrated ability to perform any combination of routine mathematical computations quickly and accurately.
  • Proficient in Microsoft Excel, Microsoft Word, Adobe Acrobat Pro, and 10-key by touch.
  • Demonstrated ability to apply culturally appropriate skills in interactions with clients, co-workers, volunteers, partner agencies, and other community members.
  • Excellent communication (verbal and written), problem solving, listening, and interpersonal skills, with the ability to form and maintain positive work relationships.
  • Ability and willingness to work within the established structure of Catholic Charities.
  • Occasional evenings and weekends are required to accommodate meetings and special events.


Compensation

The salary range for this position is $37,600 - $47,000. Salary is determined based on the applicant's incoming skills and experience, and the budget at time of hiring.

  • Schedule: Monday - Friday 8:00 am - 5:00 pm
