This position is an integral part of Catalyst's client relations and is responsible for ensuring a positive experience during the entire exhibit process. Account Directors will build and maintain strong relationships with clients at all levels, understanding their business and marketing initiatives in order to provide effective solutions. They will build trust and loyalty to ensure client needs are listened to, understood, and responded to in a timely way. Account Directors will be responsible for proactively coordinating meetings with appropriate stakeholders (external and internal) for all past, present, and future shows.
Essential Job Functions (listing most important first):
Heavily involved in the pre-planning process with program clients including but not limited to:
o Assist clients with developing strategy and results-driven program with integrated metrics
o Researching show information and recommended best exhibit locations and sponsorship opportunities
o Facilitate, organize and manage ongoing preshow meetings and conference calls, attending in person as needed
o Maintain and update an overall client event schedule and calendar typically on a revolving (12) month schedule
Establish a professional relationship with clients that allows for free flowing communication enhancing our client awareness and increasing our ability to understand and meet/exceed their needs
Provide a high level of client service through consistent communication that may include coordination of other parties (design, detail, graphics, production, etc.) and the client
Develop and maintain individual event budgets along with yearly program budgets.
Complete accountability for monitoring project deadlines and communicating them with the client.
Set up and/or maintain a database(spreadsheet) of client shows each year in order to anticipate needs/scheduling
Attend top shows and events as needed
o Responsibilities onsite include monitoring service costs, supervising install so all schedules and timelines are met, problem solving any potential issues, offer assistance to manager/planner/brand teams and ensure overall positive client experience.
Facilitate and attend post-show recap meetings and provide feedback after each event
Train new employees on best practices, as well as selling and upselling to customers.
Help the account team to achieve goals and maintain consistency.
Set client based invoice expectations with Accounting based on client negotiated terms and rates
Complete accountability for reconciling actual costs against budgeted costs and facilitating a single, audited final invoice
Create various client facing documents including cost saving reports, timeline calendars, agenda and minutes for planning and weekly status meetings, post show recap and analysis, competitive overviews and budget reconciliation
Required/Preferred Education and Experience:
5-8 years previous Account Management experience
Exceptionally high degree of client focus
Demonstrate ability to interact professionally and effectively with clients and internal teams
Demonstrate proficiency to manage projects, coordinate people, and schedules
Ability to identify potential issues and work cross functionally to resolve
Superior organizational and time management skills
Ability to manage the schedule and deadlines of many coinciding projects at once
Ability to prioritize and meet deadlines
Ability to analyze and adjust work procedures to achieve maximum efficiency
Demonstrated proficiency in Microsoft Word and Excel
Typical work hours for position are 8:00am to 5:00pm Monday through Friday, off-hours work and weekend work may be required on a limited basis.
Willingness to travel to shows to ensure proper installation and/or based upon client needs.
