Currently, CareMount Medical is looking for an Administrative Assistant to work within our Advanced Practice Professional Program Director and our Chief Nursing Officer. This position will be located at our Chappaqua Headquarters. Applicants are encouraged to apply quickly.
A professional and productive administrative assistant will play a major role in the day-to-day administration of a successful medical and APP student program. The administrative assistant is both the “first contact” liaison with students and provides the necessary secretarial support to ensure that the programs run smoothly. The Clinical Administrative Assistant reports directly to the Program Director and Chief Nursing Officer and will support communication across all discipline programs at CareMount Medical and the Educational Institutions.
Function as the first-contact liaison to students, faculty, and school of medicine administration for any issues or questions relating to the program;
Provide primary support for the Medical Student Program Director and the Chief Nursing Officer in matters relating to the programs;
Manage daily operations of the programs, organize and prioritize necessary tasks, initiate changes and resolve issues as they arise;
Understand thoroughly the curricular goals, and standards of the APP and Medical Student Preceptor programs;
Solicit Preceptors within CareMount
Assist in the completion of required paperwork for the programs, including but not limited to observed history/ physical forms, mid-clerkship feedback, and final grading;
Maintain complete and accurate files;
Facilitate and streamline student preceptor onboarding to the program;
Prepare curriculum materials and participate in the program orientations;
Reserve space for student education sessions and ensure appropriate technology is available as needed;
Schedule and coordinate meetings and conference calls for program leadership.
At least three years of administrative experience with continually increasing management responsibility;
Basic understanding of medical practice and education;
Professionalism, discretion, and confidentiality.
Clinical experience preferred
The administrative assistant must demonstrate the following skills:

Excellent written communication skills;
Time management and organizational skills; must demonstrate the ability to prioritize and accurately complete tasks independently;
Proficient in basic bookkeeping, record maintenance, and report development;
Excellent technical skills; proficiency in Microsoft Office suite;
Excellent problem-solving and decision-making skills;
Conflict resolution and negotiating skills.
