Job Description

Job Title: Assistant Director of Facilities

Reports To: Director of Facilities Administration

Location: Florida Atlantic University in Boca Raton, FL

Compensation: 65,000.00 To 70,000.00 per year and a comprehensive benefits package

FLSA Status: Exempt


The Assistant Director of Facilities is primarily responsible for assisting the Director in Facilities Administration, summer housing turns and developing a student-centered approach to operations account management & relations, office coordination.

Essential Duties and Responsibilities:


  • Supervise Maintenance and Custodial Supervisors.
  • Review and evaluate the work performance of direct reports as well as counsel according to company policy.
  • Manage recruitment, interview, and onboarding for new hires, as needed.
  • Take part in regular review/audit of policies and procedures.
  • Oversee on-line learning management training schedules and implementation.
  • Assist in responsibilities for data entry; generating regular and recurring reports.
  • Participate in management on call duties.
  • Liaison for the Theater Lab for special needs.
  • Maintain regular communication with vendors and contractors.
  • Maintain records of projects, guides/manuals, process changes, service agreements, and other documents on SharePoint.
  • Participate in the budget planning process with the Director of Facilities.


  • Assist Director and staff in planning and coordinating work, projects, and vendors.
  • Assist Director with capital projects and scheduling/coordination, as needed.
  • Oversee coordination of work order system; monitor tracking and review of work orders.
  • Coordinate turn schedules (Fall, Spring, and Summer) with staff and Housing partners.
  • Collaborate with Housing and Residential Education staff members regarding work order issues and resident complaints or concerns.
  • Assist in formulating, maintaining, and implementing policy and procedure manuals.
  • Collaborate with the maintenance and custodial team to ensure completion of regular safety/compliance audits.
  • Assist with building walkthrough/reporting needs within the building.
  • Collaborate with the maintenance and custodial staff to manage inventory to develop uniform inventory log and regularly scheduled audits.
  • Order and requisition supplies and equipment, as needed.
  • Assist with the key management system, as needed.

Student Approach & Summer Housing

  • Collaborate with Housing and Residential Education staff in creating a student first atmosphere in the community.
  • Serve as a resource to residents, parents, vendors, contractors, and FAU personnel.
  • Work with both the Custodial and Maintenance Supervisors in developing procedures, policies, and training for staff to achieve the highest standards of customer service.
  • Work with staff and all appropriate parties to coordinate facilities for summer housing.
  • Review summer camps/conferences inventory with Maintenance and Custodial Supervisors and develop summer supplies order list.
  • Coordinate with university regarding Fall/Spring check-in and Spring check-out.

Other duties as assigned.

  • Serve as housing appeals conduct officer and maintain records.

Bachelor’s Degree in business operations or related fields and four to six years related experience and training or master’s degree (preferred) in student affairs or related fields and two to four years of related experience and training.

Previous experience gathering and analyzing data, creating reports, managing budgets and experience with Microsoft Office.
