Executive Assistant to the VP of DDR

Full-Time; Exempt

This is an in-office position, requires on-site work (5) days per week.

Only applicants who reside in the Los Angeles Region will be considered.

Position Summary: The Executive Assistant works to provide administrative and project management support to the Vice President of Development and Donor Relations of the California Community Foundation (CCF). The Executive

Major Responsibilities:

  • Department Leadership: Supports the VP in leading the Development and Donor Relations department (DDR), including creating department meeting agendas and materials, taking, and distributing meeting notes, planning staff retreats and supporting the planning of donor & advisor events. In concert with the VP and department leadership, project manages the annual workplan and goal setting process for the department.
  • Advisor & Donor Moves Management: Supports the implementation of moves management plans for top donors and advisors as designed by VP and DDR Leadership Team. This includes planning individual donor and advisor meetings and experiences.
  • Coordination: Coordinates within the Operations and Administration Department to input and maintain donor, advisor & prospect data, track the DDR budget, run lists and reports from , and to ensure seamless communication and service delivery.
  • Department Staff: Serves as liaison to communicate pertinent information between the VP and department and foundation staff, suggesting courses of action using discretion and initiative when little or no instructions have been provided. Interacts with donors, advisors and VIP’s.
  • Administrative Support: Provides administrative support to the VP of Development and Donor Relations, working closely with the President’s Office and foundation staff.
    • Correspondence: screens & handles telephone calls
    • Scheduling: Maintains Sr. VP’s calendar, scheduling all internal & external meetings.
    • Coordination: Maintains a tracking system of all major assignments given to staff.
    • Travel: Arranges for travel, specifying times, dates, best connections, food, seat, car.
    • Filing: Maintains VP’s personal & general files as appropriate by organization.
    • Events: Provides on-site support for event registration & assists with set-up
  • General: As appropriate, assists other departments and works as a member of interdepartmental teams to ensure the effective and efficient operations of CCF. At all times, demonstrates cooperative behavior with supervisors and coworkers. Other duties as assigned, dependent on organizational needs and employee skills.


Qualifications:

  • Experience: Minimum 3 years as an executive assistant at non-profit
  • Education: Business or secretarial training
  • Operational: Solid planning, organizational, and project management skills with the ability to multi-task and assimilate new information quickly.
  • Communication: Confident presentation, communication and interpersonal skills.
  • Interpersonal: Strong interpersonal skills and the ability to build rapport across the Foundation while quickly and confidently gaining respect of others.
  • Problem Solving: Ability to interpret and analyze complex data and exercise initiative, sound judgment, and problem-solving.
  • Technical: Ability to operate technical devices (e.g. computer, laptop, tablet, smartphone etc.).
