Job Description

Under the direct supervision of the Sr. Manager, Central Services, the incumbent assists with all daily operations of the Central Services Department including the roll as primary back-up for the mailroom, reception, and supply fulfillment functions at the Spectrum building. Job duties will also include assisting in the maintenance and repair of credit union equipment and facilities, the set up and tear down of equipment for company functions at the Spectrum Facility and in the field and the periodic delivery of company materials and equipment to branch locations in San Diego and Riverside counties.

Supervisory responsibilities

The incumbent reports directly to the Sr. Manager, Central Services. There are no direct reports to this position.

NATURE & SCOPE

  • Attends to facility service calls for repairs and maintenance to the various credit union branch locations; assesses requests that involve services beyond internal abilities to refer to proper established vendors and following up to ensure work is completed correctly and in a timely manner.
  • Assists with the setup and teardown of meeting rooms at the Administrative Facility, as well as assisting with coordinating other onsite and offsite events.
  • Performs the quarterly off-site inspection of ATMs, and performs or coordinates remedies for any exceptions noted.
  • Maintains the credit union’s company vehicles by performing regular inspections and coordinating all required service repairs and/or cleaning.
  • Monitors the Central Services department work order system and either required performs repairs or coordinates service calls with applicable contractors.
  • Coordinates the destruction of credit union records, by the vendor, in accordance with credit union procedures 
  • Assists with the bi-annual inventory of the company’s fixed assets.
  • Assists with maintaining the order and safety of the Central Services storage.
  • Supports mailroom operations to ensure timely and accurate operation of the mailroom functions including sorting of inter-office mail, external mail and special handled items, and courier deliveries of mail to appropriate destinations.  
  • Participates in on-going training to maximize the efficiencies of the Central Services department.
  • Performs ergonomic assessments on individual workstations and assists in coordinating any recommended modifications.
  • Maintains a focus on cost efficiencies when analyzing options in all aspects of the department’s operations.
  • Performs other relevant and related duties as required.

Other Education, Skills, and Abilities

  • The experience as acquired from a high school diploma or equivalent plus 2-5 years of experience in a Facilities role.    Some college with an applicable emphasis is preferred.
  • Experience with basic tools and equipment used in facilitating repairs and maintenance.
  • Possess skillset to perform basic repairs in the areas of plumbing, electrical, painting, etc., with the ability to recognize when a specialist is required for certain maintenance and repair tasks.
  • Requires a valid California driver's license and proof of good driving record.
  • Ability to multi-task and work under time constraints to meet work deadlines.
  • Experience working with Microsoft Applications such as Word, Excel, and Outlook.
  • Ability to interface with staff, vendors and members in a courteous and professional manner with a strong focus on delivering customer service excellence.
  • Ability to report for work on time and ready to go, follow directions from a supervisor, interact effectively with co-workers, understand and follow posted work rules and procedures and accept constructive criticism.
  • Ability to operate standard business machines such as computer, printer, fax, copier and telephonic devices.
  • Ability to work independently with vendors/building contractors on special projects.
  • Ability to coordinate professional service providers and Branch Management to complete necessary maintenance, repairs, and special projects.
  • Ability to complete basic administrative requirements such as completing and submitting expense reports, project status reports, etc.
  • Maintains the ability to work a flexible schedule in order to meet the needs of occasional weekend and/or evening project coordination.

MAJOR ACCOUNTABILITIES

  • Attends to service calls for equipment repairs and facilities issues, and arranges various vendors or contractors to address service requests outside the scope of Central Services capabilities to attend to directly.
  • Acts as a back-up for mailroom functions, reception, clerical and courier support for the Central Services department on an as-needed basis.

PHYSICAL REQUIREMENTS

  • Ability to communicate, both verbally and in writing; ability to tolerate periods of continuous sitting, standing, walking, lifting and climbing up to 10 feet.
  • Ability to lift and move objects up to 75 pounds.  Must be familiar with safe and proper techniques for lifting heavy objects and general safety practices.
  • Ability to operate general hand tools.

ENVIRONMENTAL CONDITIONS

  • Utilizes company vehicles for transportation to any or all credit union locations to assist with maintenance/ repair issues and miscellaneous other service requests.
  • Work is primarily performed within an office setting and occasional outdoors. Subject to conversational noise found in an office environment. When performing work outside the facility or during drive time, subject to variable weather and traffic conditions.
