SUMMARY

Performs the following duties personally and coordinates with team members to ensure successful completion of assigned tasks.




Direct Report: Operations Coordinator-AR Clerk

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Key Results Areas (KRAs).




KRA #1: General Office duties

This key result area will be satisfactorily achieved when: Daily office tasks are performed efficiently
Manage phone calls and take messages as necessary
Prepare, fax, and email documents for the management team
Greet and serve guests in a courteous and professional manner
File documents in the proper places



KRA #2: Office Management

This key result area will be satisfactorily achieved when: office runs smoothly
Manage vacation requests and sick leave
Order office supplies
Manage paperwork and files
Maintain a positive work environment


KRA #3: Prepare financial reports

This key result area will be satisfactorily achieved when: reports are generated in a timely and accurate manner
Produce monthly sales and rental reports
Produce and deliver monthly closing reports to CPA
Balance bank accounts
Payroll- process timecards and produce payroll direct deposit on bank website
Process company credit card statements and code appropriately
Process and report sales taxes owed



KRA #4: Manage Accounts Payable

This key result area will be satisfactorily achieved when: accounts payable is accurately processed and in a timely matter
Process invoices from vendors and compare to purchase orders
Generate checks and present to Treasurer for signature
Hold purchasing agents accountable for purchase order mistakes and inaccuracies
Code expenses in the proper GL codes
Make sure customers are invoiced for all drop shipments

SUPERVISORY RESPONSIBILITIES

Direct supervision of the office operations/accounting department involving responsibility for results in terms of costs, methods and personnel. Supervises one employee. Responsible for carrying out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing and hiring of employees; planning, assigning, scheduling, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.




QUALIFICTIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and EXPERIENCE

High School diploma or GED; and over seven years up to and including ten years of related industry experience and/or training; or equivalent combination of education and experience.



LANGUAGE SKILLS EXPERIENCE

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.



MATHEMATICAL SKILLS EXPERIENCE

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.



REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.



Computer Skills

To perform this job successfully, an individual should have intermediate knowledge of: Microsoft Office Suite - Outlook Communication Management software, Word and Excel; and, experience with QuickBooks. Experience with Internet usage, PC and/or MAC and Windows required. Prior experience with BambooHR highly desirable.




CERTIFICATIONS, LICENSES and REGISTRATIONS

Valid State Driver’s License.
