Position: Residency Program Coordinator


Reports to: Graduate Medical Education Manager


Duties and Responsibilities:

  • Compile and submit reports to ACGME and HRSA under the direction of the GME manager

  • Maintain GME Track

  • Initiate and manage residency budget, under the direction of the GME manager

  • Compile data and prepare reports for numerous organizations

  • Developm new procedures in response to new or revised policies issued by governing agencies or program director

  • Liaison with residents

  • Plan, organize and schedule resident orientation

  • Communicate with all appropriate campus offices and affiliated hospitals as well as program director and campus director

  • Coordinate and administer ABFM in-training examinations

  • Review all residency applications and screen those appropriate for interview. Evaluate residency applications for competitiveness for program, and invite applicants to interview as appropriate

  • Use knowledge of ERAS® software to manage residency applications and compile reports as necessary.

  • Write and revise recruitment brochures and all printed materials and forms, as well as all website information

  • Administer and coordinate residency interviews; communicate with applicants as necessary and appropriate

  • Prepare and distribute rotation schedules, in coordination with chief residents

  • Schedule and manage resident conference schedules, in coordination with curriculum coordinator

  • Arrange travel for conferences as well as the conference schedule, handouts, residency information sheets, and the schedule of who will be attending each conference, with the assistance of the program assistant

  • Schedule booth space at all appropriate recruiting fairs as planned out early in each academic year

  • Complete verification requests from former residents

  • Maintain electronic files on all residents

  • Prepare monthly reports on case logs, evaluations, and duty hours for program director

  • Maintain rotation information and any other items required by your program in Google Drive

  • Serve as the coordinator for all medical students, NP students, PA students, etc for your assigned sites

  • Keep track of all resident leave and call swap, in coordination with chief residents

  • Track duty hours, patient numbers, procedures, and hours in pertinent subspecialty rotations for all residents. Alert the PD or associate PD when residents are not accurately and timely reporting their hours and procedures.

  • Assist in making sure all faculty are giving timely evaluations back on students and residents and that all residents are giving timely feedback to their physician preceptors

  • Assist in making the schedule for residents to have a quarterly face to face evaluation with their faculty advisor (and the program director) and then follow up with the faculty advisor to make sure all the necessary paperwork has been completed and filed in the resident file.

  • Responsible for getting all residents privileged at CMCF as well as BMC, BMC NH, UAB, Princeton, Medical West, and J. Paul Jones, and any other necessary health care facilities

  • Responsible for getting state licenses for residents and making sure these are renewed in a timely manner



Required Skills:

  • Excellent organizational, interpersonal and communication skills

  • Strong computer and internet research skills, including high comfort level with office software products (such as Google Apps, Microsoft Office, Adobe, Zoom)

  • Project coordination experience

  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with hard deadlines and quick turnaround times.

  • Ability to work well with various levels of internal management and staff as well as outside vendors and clients

  • High level of flexibility and willingness to help with the daily tasks

  • Prompt, reliable attendance at the office


Required Qualifications:

  • Bachelor’s Degree in business administration/management or healthcare-related field, or equivalent experience (at least 3 years in an administrative position)
