Job Description

 

Basic Function: Under direction of management, and in accordance with the company’s mission and values, conduct the day-to-day operation of properties in order to maximize the value of the asset, achieve the goals set forth by the owner, comply with all regulations, satisfy tenants and further the reputation as a top quality property management firm.

 

Duties include but are not limited to:

§ Tenant Relations

§ Proactively build and nurture positive relationships with members of tenant organizations

§ Represent the company as a customer service agent to all

§ Coordinate any and all tenant related items within the building and portfolio

§ Manage building, tenants, lease correspondence files, etcetera in organized fashion per management agreement

§ Assist Development/Construction team with coordinate of tenant improvement projects

§ Review and collection of tenant rents and other receivables

 

· Property Management

  • Regularly inspect properties ensuring the company standards are met and the property is managed and maintained to the highest level
  • Meet with management on a weekly basis to review operating budget, identify and resolve problems and maintain understating of roles and goals
  • In coordination with the management, negotiate and manage all utility and building service contracts
  • Manage and process all insurance claims
  • Work with team to execute property budgets while achieving company’s and owners’ objectives.

 

§ Lease Administration

§ Maintain database of current leases and abstracts for all properties under management

§ In coordination with lease accountant, create or update lease abstracts for all new leases and renewals

§ Maintain a current and accurate rent roll for each property under management

§ Monitor tenant insurance certificates and compliance with lease terms

§ Manage legal issues including evictions, collections, judgments and small claims

 

§ Property Budget Administration

§ Competitively solicit bids from vendors for contracts, repairs, and maintenance items.

§ Prepare annual operating and capital budgets

§ Review, code, and approve all accounts payable invoices

§ Participate in month end process

 

§ Marketing and Leasing

§ Provide input to Marketing and Leasing team by adding constructive feedback about buildings and tenants

§ Support Brokerage with a list of lease renewals as well as information and knowledge of tenant’s motivations.

· Participate in company-wide management activities

· Duties as otherwise assigned by Management

 

Qualifications:

  • Customer Service oriented
  • High level of organization and attention to detail
  • Firm understanding and ability to interpret and speak about both commercial office and retail leases
  • Familiar with applicable local, state, and federal laws and regulations (Tenant/Landlord Acts, evictions, credit checks, non-payment procedures).
  • Strong interpersonal & business communication skills
  • Must be able to communicate effectively with people in a calm and friendly manner
  • Vendor relationship/management skills
  • Flexibility with schedule in a 24/7 environment
  • Competence with office management software
  • Knowledge of financial reporting
  • Advanced computer skills including proficiency in Microsoft Office applications
  • Experience with Yardi preferred
  • Michigan State Real Estate License
  • Must have a valid driver’s license and automobile insurance.

Education and/or experience:

Minimum 10 years related property management or related experience required. High School diploma or general education degree (GED) required, Bachelor’s degree preferred.
