Job Description: Palo Verde Pet Clinic is a small veterinary hospital located in Yuma, AZ. Our main focus is preventative medicine and excellent quality care. Yuma has 300+ days of sunshine a year and is a great destination to enjoy outdoor activities. Enjoy biking, four wheeling, horseback riding, as well as water fun on our tivers and lakes. At Palo Verde Pet Clinic, we understand the need for work-life balance, we are looking for an experienced Hospital Manager to join our hospital. The Hospital Manager is an operational leader who works collaboratively with the Lead DVM and Companion to deliver outstanding results for the client experience, financial performance and culture of the facility. This individual will develop and sustain an efficient and effective hospital team and foster an environment of trust, teamwork and accountability. In partnership with the Lead DVM and Companion, the Hospital Manager will deliver on Companion’s promise of being the best place for vets to care for pets through compassionate leadership, thoughtful deployment of resources and a strategic focus on delivering a consistently excellent client experience to all of our pet families. CORE RESPONSIBILITIES: Leadership:Communicates objectives, motivates staff, builds, maintains morale, core values and standardsTakes an active role in practice staff meetings and communication and engagement with CompanionPromotes a cooperative working environment among staff members, understands the value of teamwork, shows enthusiasm and willingness to perform as necessary to help the practice function as a cohesive unitMaintains positive, cooperative relationships with other teammates and CompanionPromotes continuous quality improvementUpholds protocols and standards set out by the Medical Director and CompanionDemonstrates dedication to team and a commitment to excellence Staff Management: Supervises the support staff within all hospital support departmentsParticipates in the recruitment and interview processes, makes recommendations for hireResponsible for the administrative oversight, orientation and training of new teammatesResponsible for timely performance feedback, skills, and management development of all support staff, including Annual Performance ReviewsResolves HR and personnel issues, leveraging Companion resources and support when appropriateMakes recommendations for recognition, promotion, merit increases, performance counseling and terminationMakes suggestions for process improvement and champions change and improvementsManages schedules for technical and administrative staff, coordinates the DVM and support schedules with the Lead DVMMonitors Workforce Management for missed punches, and management of overtime hours dailyOversees employee schedules and manage PTO requestsSubmit employee payroll accurately and timelyAchieves and maintains all labor goals Operational Oversight:Works with the Companion support team, maintains accuracy of financial reports including end of day, month, and year reports as neededFinancial accountability for daily balancing of cash drawer and the collection of paymentsReviews revenue, labor, and employee issues with Regional Operations Director on a weekly basisEnsures daily financial information is accurate and is responsible for all local accounting functions Works with Companion’s support team to prepare and submit the yearly budget (budget forecast, operating plan)Reviews and maintains accuracy of billing and oversees charge capturingOversees the management of the inventory and ensures proper documentation and systems are in placeOversees the preparation, maintenance, and disposition of required veterinary records and other correspondenceEstablishes internal operating procedures for administration of the hospital to ensure accuracy and completeness of veterinary records and reports, format and compliance with the accepted hospital practicesEnsures compliance with regulatory agencies and laws, including OSHA, DEA, EEOC, ADA and the Department of LaborDevelops and maintains procedures necessary to meet regulatory requirements Client Relations: Promotes a client-centered environment and facilitates programs and processes that meet client needsMaintains the practice philosophy for attracting new clients and retaining existing clientsEnsures that pet owner’s complaints are promptly addressed and resolvedResolves financial concerns with clients, collecting delinquent accounts and "NSF'” checks and determines when special financial agreements are appropriate and consistent with Companion guidelinesResolve client issues in collaboration with the Lead DVM, engaging Companion when appropriate COMPETENCIES AND EXPERIENCE3 years of supervisory experience and college degree preferred. An equivalent combination of education and experience which provides proficiency in the areas of responsibilities listed above may be substituted for the above education and experience requirementsBalance administrative and clinic functions and be able to perform critical problem-solving while juggling multiple tasks simultaneouslyDemonstrates initiative and self-motivation to follow through on all responsibilities in a timely mannerWell-versed in business and accounting principles including ability to read and interpret financial statements, identify opportunities and solutions to any financial issuesStrong communication, leadership, and motivation skills Ability to show unbiased judgement when managing people and make fair and just recommendations regarding personnel issues and/or disciplinary actionUtilizes critical reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problemsMust be able to handle multiple tasks at once, and deal with high levels of stress in an environment of changing priorities LANGUAGE, MATH AND REASONINGExcellent verbal and written communication skillsAbility to read, analyze and interpret financial statements and demographic data.
