Administrative Assistant ( Part Time )

This is a long term temp. assignment ( No set end date , temp. to hire is possible )

Part time : 20-30 hours per week

Daily Duties

  • Greet visitors and determine whether they should be given access to specific individuals;

  • Answer and direct phone calls to appropriate parties or take messages;

  • Open, sort, and distribute incoming correspondence, including faxes and email;

  • Direct communications (written/verbal) requiring Executive Director or Chairman’s personal attention;

  • Prepare, transcribe Executive Director’s correspondence; and

  • File and retrieve corporate documents, records, and reports.

Weekly Duties

  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work;

  • Prepare reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software;

  • Maintain working and archive files including Organizational files; and

  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

Monthly Duties

  • Assist completion of projects including preparation of Executive Board and Commissioner agenda, minutes, consolidate time sheet reports, and pertinent meeting information for their respective packets;

  • Prepare meeting rooms for Executive Board, Commissioners meetings

  • Attend Executive Board, Commissioners, and meetings to record, transcribe minutes.

Other Duties

  • Conduct research, compile data, and prepare papers for consideration and presentation by staff, committees, and Executive Board;

  • Assist Executive Director with pertinent human resource issues found in Employee Handbook;

  • Make reservations for meetings and travel arrangements for staff

  • Oversee General Office staff hired to assist with administrative tasks and provide scheduling related to those positions.


  • Update and/or distribute changes to

    • Outlook Contacts; i.e. Town Officers, Selectmen, Planning Board Members, etc.

    • Annual Town Reports of work completed by commission

    • Commission Lists;

    • LPRC CommissionHandbook;

    • TAC Membership (including term expirations);

  • Mail annual Requests for Municipal Membership and Household Hazardous Waste Appropriations;

  • Coordinate Land Use Regulation Book orders;

  • Other work requested by Executive Director or planners;
