Position Purpose and Objectives:
The Administrative Specialist will act as the primary support person for all BCRTA administrative functions, including but not limited to the Executive Director, Human Resources and Finance. The Administrative Specialist will be responsible for providing stakeholders and employees with excellent customer service and resolving problems while maintaining strict confidentiality of information at all times. Duties include, but are not limited to communication, filing, typing and formatting, data tracking and entry, and office management responsibilities.
Essential Job Functions:
Takes non-operational phone calls and relays messages promptly.
Manages calendars and coordinates meetings for executive staff.
Acts as the Clerk of the Board of Trustees including taking minutes, preparing resolutions, assembling meeting materials and accurately documenting proceedings subject to legal requirements.
Provides other administrative support to the Board of Trustees as requested by the Executive Director.
Tracks and manages purchases of office supplies and other administrative materials.
Assists HR department with the support of existing employees and applicants.
Manages organizational access control subject to policy and direction of HR.
Tracks and manages purchases of uniforms.
Creates copies, materials, and files and organizes as needed.
Creates and distributes public communications as directed.
Enters and tracks HR data as required or requested.
Effectively maintains, secures and files confidential records.
Creates and distributes regular reports as required or directed.
Counts money and supports finance department fare collection processes.
Communicates kindly, tactfully and diplomatically with employees and stakeholders of all levels.
Plans, organizes, and executes internal and external events, including space, budgets, catering, setup and breakdown.
Maintains composure and acts thoughtfully under pressure.
Assists management with special projects.
Attends meetings or acts in the absence of finance or administrative personnel as directed.
Promotes a positive public image of BCRTA and exceeds customer expectations.

High School diploma required, Associate Degree in Business Administration or similar preferred. Equivalent experience also acceptable.
