Job Description

Position is based in Galt, Ca.

The Director of Specialty Sourcing & Purchasing is responsible for the strategic direction, overall leadership and management of the purchasing team and all purchasing functions for our import and domestically sourced products aimed to increase company profitability and customer and supplier satisfaction that meets or exceeds company objectives. This includes enhanced asset utilization that delivers improved turns, higher margins, better fill rates and stronger supplier relationships. In addition, this role will lead purchasing automation activities and the demand planning process for existing and new expansion markets while creating standard and repeatable processes like supplier scorecards, new product evaluation, category management and line reviews.

Essential Functions:

  • Work in conjunction with senior management to seek optimal balance between total product costs/terms, lead time, order minimums, standard packs and other factors while maintaining adequate merchandise quality, quantity and specification requirements
  • Set company goals for fill rate and inventory turns (at the item group and product level) and monitor the Department’s performance towards reaching those goals
  • Establish individual goals for all Purchasing Team members and monitor performance
  • Supervise the day-to-day activities of the Purchasing Department and act as a resource for all team members
  • Oversee all Purchasing Department activities including the review of purchase orders and transfers to assure compliance with established goals
  • Review computer generated, demand planning, replenishment recommendations and make appropriate adjustments to inventory replenishment forecasts and place orders as needed. Assure that the ordering controls, historical usage, lead times, and other forecast data are appropriately maintained. Participate in the process of updating and refining purchasing-relevant maintenance files
  • Analyze special buy opportunities for overall return on investment, including opportunity and carrying costs
  • Partner with suppliers and maintain positive supplier relations via reviews and scorecards that include the negotiation of special pricing or terms
  • Ensure that ordering and negotiation of, price changes, preseason and promotional programs and sell sheets are completed according to time-schedules and vendor terms. Serve as liaison with senior warehouse personnel in handling special buys and large buys by establishing on-going communication on issues such as space requirements, delivery details, and special handling instructions
  • Monitor and analyze reports related to sales trends, seasonal fluctuations and business conditions to recommend adjustments to buying policies to senior management
  • Participate in supplier selection and review by researching market acceptance, price, quality, service, support, and other factors.
  • Lead the evaluation, strategy, introduction and roll out of new products for distribution

  • Analyze trends in vendor pricing and sales activity to determine correct timing of purchases for commoditized products and maintain relevant records
  • Establish and maintain contingency plans for fast moving products to ensure product availability
  • Oversee and monitor applicable vendor rebate programs
  • Oversee the process of phasing out unsuccessful new products, slow-moving inventory, discontinued items and non-stock products as well as managing the vendor return processes
  • Have a functional understanding of warehouse standard operating procedures as they relate to purchasing operations.
  • Maintain proficiency in computerized purchasing/business systems – specifically ASW; be literate and highly proficient with Microsoft Excel, Word and Outlook
  • May serve as initial point of contact for new vendors and vendor sales activities
  • Respond to and resolve issues with mills regarding quality control, packaging, shipping and pricing
  • Assist in developing category pricing strategies using market knowledge and intelligence to achieve financial objectives
  • Collaborate with distribution centers for stocking, storing and logistics of products
  • Maintain industry knowledge and market intelligence of product trends, suppliers, regulatory impacts, and distribution channels and communicate their implications for the division and the business
  • Develop, monitor and ensure compliance with Company policies and procedures and all applicable laws and regulations
