Position Responsibilities:

The job of a Staff Scheduler involves ensuring all schedules are organized and input accordingly, the appropriate staff is available and scheduled, and all open shifts both current and upcoming are staffed. This involves working with both internal staff members and external Care Coordinators. The Caregiver Scheduler shall;

a) Ensure there are no open shifts left unattended at any given time.

b) Match and schedule caregivers with clients to achieve superior client care and operational goals.

c) Update all relevant information in the current staffing software such as caregiver and client profile information, and follow-up with all caregivers regarding missing documentation in their files.

d) Familiarize themselves with all clients and caregivers in order to place themselves in a better position to handle queries.

e) Consult with internal staff to pro-actively have enough caregivers in the pool for staffing.

f) Ensure staffing on demand is avoided at all costs, but instead ensure the pool of caregivers is adequate to cover upcoming open shifts.

g) Participate in properly documenting the recruitment, evaluation, and selection of all caregivers within the agency.

h) Update care plans each time there is a change in condition.

i) Assume the role of caregiver, as a fill-in with clients in emergency situations as needed.

j) Coordinate the bi-weekly holistic care conferences and maintain meeting minutes.

k) Participate in coordinating and supervising orientation, training and continued education to agency staff.

l) Ensure all caregiver files follow the Federal and State (IDPH) regulations in satisfaction of the prevailing caregiver file checklist.

m) Participate in the on-call program to handle all issues of the organization which come outside regular work hours and supervisory visits (refer to On-Call Rotation Policy).

n) Participate in office management activities such as setting up meetings, managing all phone messaging, ensuring office supplies are kept fully stocked, receive and dispatch mail, manage the cleanliness of the office, answer and screen all incoming calls and redirect them to the relevant office staff, and receiving people coming to the office.

o) Report directly to the Quality Care Manager and perform other duties as assigned by the Executive Director. Additional responsibilities to be assigned as the position and the organization evolve.


a) MUST have strong communication skills to work with the public.

a) Unwavering passion for providing exceptional care and compassion to elderly clients who desire to age in their homes.

b) Previous scheduling operations experience in hospice, home care, home health, or related fields.

c) Strong acumen in managing operations at staffing level with over 150 employees per time.

d) Positive and patient demeanor with clients and caregivers.

e) Ability to build rapport with clients, clients' families, and caregivers.

f) Must be able to lift, stoop, push, and pull.

g) Must be able to cope with death and/or severe diseases/disorders and the families who suffer them.

h) Excellent written and verbal communication skills. Multilingual an added advantage.

i) Excellent organizational and time management skills.

j) Proficiency with scheduling software, personal computers and computer software including Microsoft Word, Excel, and PowerPoint.

k) Bachelor’s Degree or equivalent experience.

Special Requirements:

a) Must be able to properly handle a diverse and multi-cultural caregiving staff.

b) Must be able to handle when challenges arise due to caregivers shift call-offs and electronic alerts associated with scheduling.

c) Must participate in joint coordination of client care activities.
