Job Description

Office Services Coordinator

Scope:

Highly visible position responsible for providing a welcoming office environment, performing all functions relating to a multi-line phone system, visitor hospitality, and on-site office administrative and clerical support to attorneys and legal assistants. Provides firm-wide administrative support on an as needed basis, including assisting with administrative projects and handling Administrative Process Specialist overflow work through the firm’s workflow technology. Assists with document production, mail and records management services (scope of these responsibilities varies if there is an on-site outsourcing provider). Maintains contact with attorneys, staff and clients and observes confidentiality of client and firm matters.

 

Essential Duties & Responsibilities:

  • Handles communication with clients, vendors and visitors via phone, e-mail and in-person as well as visitor hospitality including travel arrangements, parking information, reserving office work space, visitor building ID cards, and welcome announcements.
  • Answers multiple-line phone system, directs calls, takes messages and relays information timely and accurately.
  • Provides on-site office administrative and clerical support to attorneys and legal assistants on an as needed basis.
  • Coordinates with Office Manager facility items such as building maintenance requests, deliveries and furniture repair.
  • Assists in coordinating office events/activities and hospitality requests to include, but not limited to, placing catering orders, overseeing conference room set-up and clean-up, and assisting with office based events.
  • Oversees all Office Video Conference meetings and troubleshoot IT issues, on an needed basis.
  • Assists with document production, mail, and off-site records management services (scope of these responsibilities varies if there is an on-site outsourcing provider).
  • Assists with firm-wide Administrative Process group overflow including, but not limited to, preparation and follow-up on check requests, retainer and engagement letters and data entry of attorney contacts, on an as needed basis.
  • Keeps Office Manager well-informed of office activities and ways to enhance service and improve efficiency levels in the reception area.
