Job Summary - Executive Administrative Assistant:
The Executive Administrative Assistant to the CEO as well as the Medical Director and Leadership team plays a critical part in enhancing productivity with broad responsibilities in a fast paced healthcare administrative environment. Responsibilities include: screening calls, managing calendars, arranging travel, meeting and event arrangements, and also acts as a Notary for Boulder Medical Center staff and patients. This position requires strong computer and internet research skills, flexibility, excellent interpersonal skills, effective communication skills, project coordination experience, and the ability to work well with all levels of staff. This position works closely with Providers and Executive Management. The ability to protect and maintain confidential matters is required. Past experience taking meeting minute notes and providing executive administrative support required.
Assists the Executive Director, the Medical Director, and the Leadership Team in a broad range of administrative tasks and extra projects as assigned.
Answers the telephone, screens and fields calls, taking messages for the Executive Director, as needed.
Acts as the Recording Secretary for the Corporation. Accurately takes meeting minutes for the Board of Directors meetings, the Shareholders meetings, the Supervisors meetings and any other meetings as requested.
Handles all correspondence directed to the Executive Director and the Medical Director. Prepares confidential correspondence and maintains classified files such the physician personnel files and other administrative files as assigned.
Prepares documents and correspondence as directed, distributing them to designated personnel.
Interacts with all levels of the organization acting as a point of information and coordination. Receives and greets visitors for the Executive Director.
Assists Executive Director with physician recruiting.
Coordinates travel arrangements including for visiting guests or candidates.
Sends contracts to new physicians coming to BMC as well as sends the necessary applications to begin work at the Boulder Medical Center. Responsible for follow-up to these applications and assisting the new physician whenever possible in order to make his/her arrival and start-up as smooth as possible.
Updates and maintains corporate legal documents, physician files, contract files.
Communicates and coordinates catering services for Shareholder and Board meetings and other designated functions. Reviews and approves catering bill for accuracy. Arranges catering for special events as requested (i.e., any special luncheon meetings, certain physician parties, open houses, and/or certain special employee events).
Obtains and maintains Notary Public Appointment within 6 months of hire.
Assists physicians and the Leadership Team in an administrative capacity, providing information and/or administrative services, such as typing documents, as requested.
Keeps a record of physician meeting time allowance requests, yearly balances of each physician and a breakdown of expenses. Generates report when requested.
Skills and Abilities:
Must have advanced knowledge of a variety of computer software applications including all Microsoft.
Must be able to work some evenings to provide support and coordination of shareholder meetings.
Must obtain Notary Public Appointment within 6 months of hire.
Must have pleasant phone manner, exceptional communication skills and an ability to interact with individuals at all levels personnel, required.
Must be highly organized.
High School Diploma or equivalent.
Associates or Bachelor’s degree in Business or related field highly desired.
Two to Five (2-5) years of experience providing executive level administrative support, or equivalent combination of education and experience.
$23.27 - $31.41/hour; depending on experience
