Summary

In mid-2022, the Mayor's Office of Workforce Development (OWD) was awarded two major federal grants:

  1. $23M from the U.S. Department of Commerce's Economic Development Administration (EDA) for their Good Jobs Challenge Initiative. This initiative will use a sector-based strategy to produce 4,618 quality jobs over the course of three years in the sectors of healthcare, clean energy, and child care.
  2. $3M from the U.S. Department of Labor's Employment and Training Administration to create and expand equitable pre-apprenticeship pathways to Registered Apprenticeship Programs, as well as Equity Partnerships. This initiative will serve 484 participants over the course of four years.


Under the direction of the Director of Grants Management, the Data Assistant will assist with tracking, updating, aggregating, and preparing data from training providers for submission under these two grants. Key responsibilities will include data review, providing ongoing communication, and providing technical assistance to funded organizations. The Data Assistant will perform quarterly data entry support to OWD's partners, and support other department tasks and priorities as assigned.

Responsibilities

  • Assist in the development of information sharing tools and mechanism to communicate information between providers and OWD.
  • Assist in the development and updates of data-entry-related reference documents for OWD and partners/providers.
  • Attend regular check-in meetings with OWD staff and consultants for tasks needed and to review reports and records.
  • Communicate directly with providers to confirm and clarify accurate data entries as needed.
  • Assist with document reviews
  • Assist with monitoring files for data validation and for audit purposes.
  • Maintain records through file sharing.
  • Perform data entry support to OWD staff and partner organizations, ensuring reports from training providers are accurate and in compliance with the funder's requirements
  • Aggregate spreadsheets from partner organizations and prepare for submittal in Box
  • Help partner organizations in entering data including grant and course enrollment, monthly services, monthly case management notes, outcome and retention documentation.
  • Run, save, and file quarterly Salesforce and Box reports for OWD and providers to ensure provider records stay up to date.
  • Protect any and all Personal Identifiable Information (PII) that is reported. This includes, but isn't limited to, name, date of birth, social security number, and address.


Qualifications

Qualified applicants must have a high attention to detail, at least one year of full-time, professional experience in a similar role, and strong written and spoken communication skills. Prior experience and expertise with Excel are required. Prior experience with Salesforce or another CRM is highly desired, but not required. Applicants must have the ability to learn and master complex systems by receiving training, carefully following instruction, and incorporating feedback.
