Boeing has an exciting opportunity to join the Boeing Defense, Space & Security (BDS) Tampa Global Marketing Office.  The Boeing Company seeks an enthusiastic and detailed Executive Office Administrator to support the Vice-President of Army, SOF, and Huntsville Customer Engagement. This Executive Office Administrator position is in Tampa, Florida, but will assist the Vice-President (situated in Huntsville) with the administration of his entire Team located at multiple United States sites.  This Executive Office Administrator will also provide Administrator Duties in the Tampa Office directly supporting customer engagement and support for our USSOCOM, USCENTCOM, and USSOUTHCOM customers.

You must be skilled at establishing and maintaining effective working relationships with internal and external customers, co-workers and peers, while maintaining the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines. You will be working in a team environment which includes members of the larger Global Sales and Marketing group.

Position Responsibilities:

  • Performs the following tasks for managers on the executive payroll: Coordinates and processes domestic and international business travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.
  • Collects and compiles data to provide visibility of status for traveler's review and/or signature.
  • Creates, edits and maintains electronic and written communication.
  • Tracks and maintains information relative to department and business operations.
  • Verbally communicates a wide variety of information to multiple audiences.
  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information.
  • Prioritizes and schedules management-level employee time and availability for efficient use of time.
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources.
  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources.
  • Orders and maintains office supplies.
  • Plans and implements logistics for executive level internal and external events.
  • Provides guidance for less experienced employees. Works under limited supervision.

This position requires an active Current Secret U.S. Security Clearance. (A U.S. Security Clearance that has been active in the past 24 months is considered active.)

Basic Qualifications (Required Skills/Experience):

  • Proficient in Microsoft Office Suite Applications (Word, Excel, PowerPoint and SharePoint).
  • Experience managing schedules and calendars using Microsoft Outlook.
  • Experience coordinating travel arrangements, generating expense reports and reconciling corporate credit card charges.
  • Ability to handle sensitive information with the highest level of confidentiality
  • Ability to create, edit and maintain electronic communications.
  • Working knowledge and/or experience working in an administrative or support function of/or for DoD headquarters, units, agencies, or facilities.
  • Knowledge of DoD acronyms and organizational structure.
  • Understanding of rules, procedures and requirements of working with DoD classified projects and material.

Preferred Qualifications:

  • Experience in organizing meetings, follow-ups, and associated logistics.
  • Ability to enthusiastically make complex and at times last minute changes to detailed plans to support business needs.
  • Adeptness in functioning as a liaison between customers (USG personnel) and senior executives, Boeing Staff and selected Business Units.
  • Experience working independently and multi-tasking in a busy office environment.
  • Ability to communicate with and coordinate activities & budgets at other Team sites.

Typical Education/Experience:

High school diploma or GED and typically 4 or more years' related experience or an equivalent combination of education and experience.
