FULL CHARGE BOOKKEEPER | OPERATIONS COORDINATOR

Primary Objective

Our client, Bob Steele Salon, is seeking a career bookkeeper. The Full Service Bookkeeper/Operations Coordinator will provide the Finance Department with accurate and timely AP & entries into QuickBooks & other company programs. The incumbent will maintain and organize current finance and operations processes while supporting the administrative functions of the business. This is a fast-paced work environment where flexibility is important and excellent customer service is critical. Our ideal candidate will be a very high attention to detail Bookkeeper with an ‘all hands on deck’ attitude who will jump into any project or task for the greater good of the company.

ALL candidates must possess at least 1 - 5 years of bookkeeping and administrative operations experience based on the job duties listed below. Fundamental knowledge of GAAP and administration processes are a must. Ability to prioritize work, multitask and meet deadlines are required. NO EXCEPTIONS. This position involves heavy data entry. Incumbent must be a self-starter and able to work with minimal oversight.

Finance:

  • Hands-on Bookkeeping with AP for 6 high volume locations
  • Maintaining budgets with direction from Accountant
  • Managing daily sales reporting for registers in POS system and work through resolutions with Operations and Sr Leadership
  • Aid in Month End, Quarterly and Year End reporting
  • Support all aspects of in-house finance with oversight from Controller, Accountant, CFO and Tax Advisors
  • Ensure that all mail is collected in a timely manner for bill pay/AP

Inventory:

  • Maintain budgets for each unit’s retail and professional inventory
  • Support inventory accountability for SHRINK with direction of Accountant & Controller
  • Support the process of inventory maintenance for each unit and work with Sr Leadership to implement improvements
  • In partnership with Operations, analyze inventory turn for each unit and recommend appropriate on-hand as well as when to discontinue due to poor performance
  • Account for all incentive products on Balance Sheet and manage all incentive backbar programs for the enterprise
  • Use current POS system to account for incentive product at Salon Support Center
  • Ensure that all prices in POS match invoices from Distributors

  • Administrative Support:
    • Health/Life/Dental/Vision
    • Business Hazard and content
    • Auto
    • Workers Comp

Administrative support Payroll/HR:

  • Support all payroll processes with direction from Office Manager:
    • Input payroll performance to budgets for all units and work with the Office Manager
    • Comp plan maintenance with guidance from CEO/Office Manager
    • Tuition Reimbursement program management
    • Retail fund management
    • Insurance deductions for employees
    • ACA compliance for payroll
    • 401k deductions and financial administration
    • Maintain all employee files to remain complaint to current DOL standards
    • Support Operations with employee recognition programs
    • Birthday Cards
    • Holiday gifts
    • ACCE program (Appreciate | Care | Challenge | Encourage)
    • Book travel arrangements for company incentive trips
    • Maintain all employee files in Paycom | POS system

Accounts/Vendors:

  • Manage all accounts in QB with correct information and terms
  • Manage any changes with vendors for master files or units including addresses, cc information, billing terms, etc
  • Negotiate better terms/pricing with assistance from Accountant/Controller/CFO
  • CC merchant maintenance
  • Rebate terms and incentives management

Administrative Support for Taxes:

  • Make quarterly tax payments when advised by Tax Advisors
  • Monthly Sales Tax managed and submitted
  • Keep each unit up to date to current standard with sales tax
  • ACA reporting
  • 1099 reporting
  • Payroll tax reporting

Licenses/Permits:

  • Keep each unit up to date with Licenses:
    • Cosmetology
    • County/City Business Licenses
    • Renew corporate licenses yearly
    • Maintain filing for Trademarks(s)

General Duties:

  • Perform any administrative support duties requested by CEO/Operations
  • Become fully trained on company POS system
