Overall Job Summary

The Sr. Administrative Assistant will support the organization by handling a variety of responsibilities and procedures. The primary function of this position will be to manage the day to day tasks for reception, Human Resources duties, facilities, incoming and outgoing mail, supply ordering and scheduling. This position will support Human Resources as the local official for handling interview scheduling, new hire meetings, onboarding and off-boarding, and other HR-related needs. The Sr. Administrative Assistant will also provide additional support to the Executive Team by handling travel, scheduling, and special projects.

Essential Duties/Responsibilities

Act as the primary contact for all incoming visitors, telephone calls and general email

Maintain a positive, results-oriented work environment by building partnerships, modeling teamwork and communicating in an open, balanced and objective manner

Manage all facility-related issues with the oversight of site leader

Assist Human Resources with interview scheduling, new hire orientation scheduling, and verifying proper I9 Documentation

Collect and provide new hire paperwork containing confidential information to Human Resources

Assist Human Resources in the on boarding and off-boarding of employees in conjunction with IT

Support Human Resources as duties of a sensitive nature are required

Manage the study Change Order process

Provide support to the executive team for travel and schedule management

Coordination of the shipping/receiving of general outgoing and incoming deliveries

Manage and be the main point of contact for all facility focused vendor relationships

Order company supplies as needed

Ensure all common office areas such as kitchens, breakrooms, conference rooms, etc are kept clean, organized and functional

Compliance with internal SOPs

Education and Experience Requirements

Education: Associates Degree required and/or equivalent experience

Relevant Work Experience: Minimum 3 years in an administrative or customer service role preferred

o Must be highly organized and motivated

o Ability to establish and maintain effective working relationships with coworkers

o Problem analysis and solution development

o Must be able to maintain the highest levels of confidentiality

o Able to display ethical conduct

o Ability to work in groups and individually with minimal supervision
