Job Description
Position Description: Better Tomorrows is a mission-focused not for profit organization. We are working to alleviate poverty by providing programs, supportive services, and case management to over 26,000 residents of affordable housing in more than 100 communities across the nation and in Hawaii and the Virgin Islands.

We are searching for an Executive Coordinator to support the Executive Director. The successful candidate will manage a busy executive calendar and daily schedule. With direction from the Executive Director, execute administrative needs for the National Office including meeting preparation, office space coordination and logistics, travel, purchasing, event coordination and project management.

Duties/ Responsibilities:
? Organize and schedule recurring organizational, leadership, and executive team meetings. Record notes and minutes to share as appropriate. Exercise oversight responsibility for follow-up items.
? Manage all duties related to business travel for the Executive Director, including coordinating itineraries, travel reservations (flight and car rentals), and expense reimbursements. Manage and reconcile one company credit card transactions.
? Utilize standard organizational technology and software including email, intranet, calendar, etc. Review and submit electronic payroll approvals for Executive Directors direct reports.
? Oversight responsibility for Executive Director communications, including emails, reports, newsletters, correspondence, speeches, presentations, press releases, staff, donors, Board stewardship, and official communications to Board of Trustees.
? Draft internal communications across levels and teams of the Organization
? Act as administrative liaison with clients to coordinate a range of projects for consistent collaboration
? Collaborate with the Executive Director to prioritize projects at executive and leadership levels. Work with department managers to ensure that expectations and deadlines are met.
? Work with executives on departmental administrative activities, and/or the implementation of decisions affecting inter/intra departmental relationships on behalf of the Executive Director. With direction from the Executive Director, resolve conflicting work demands by establishing immediate and long-term priorities.
? Project Management Responsibilities Including:
? Act as a Board of Trustee liaison:
o Responsible for all aspects of Board meetings, Board Member engagement, and act as surrogate to Board of Trustees in the Executive Directors absence.
o Assist with stewarding Board prospects, supports select Board Committees Administratively manage the Organizations National Board of Trustees in accordance with the bylaws.
? Special and Corporate Events:
o Lead and/or assist with the following events: Holiday Party, Regional Meetings, Staff Appreciation Events, Employee Volunteer Opportunities, and Community and Stewardship events.
o Direct Annual Conference planning with internal planning teams. Manage logistics.
? National Office Team Support Including:
? Provide National Office administrative support including but not limited to:
o Assisting Executive Director with National Meeting agenda preparation, note taking and follow up support. Coordinate All Staff presentations and technology needs.
o Recognize and plan staff birthdays, team transitions and celebrations through the Employee Experience Initiative.
o Coordinate and communicate logistics such as building parking, visitors, booking conference space, and catering.
o Assist with general office upkeep including ordering supplies and materials and identifying and working with outside vendors.
o Document and assist the New Business Development process with coordination of signature approvals for new business development documents. Assist in maintain a corporate filing system for New Business Development.
o Support Service Delivery Department in back up capacity such as program purchases, travel and special events/correspondences. Troubleshoot and steward Social Services Coordinators for morale.
o Support Fund Development and Partnerships through calendaring, meeting preparation research and tracking next steps, research, and initial outreach when directed by the Executive Director. Prepares thank you notes on behalf of Fund Development.
o Support Strategic Partner and Finance with calendaring, email contacts, liaison, and document preparation when needed.
o Partner with Database Administrator to be Google Network Administration to troubleshoot and track our Technology needs .
o Represent Better Tomorrows on the Michaels Educational Foundation Scholarship Determination Committee.
o Complete other duties as assigned by the Executive Director.
Required Skills/Abilities:

? Advanced knowledge of Microsoft Office and Google Suite software with a working knowledge of budget planning and maintenance activities.
Education and Experience:
? Bachelors degree in Business preferred
? Minimum 5 years of experience supporting Executive level management
Physical Requirements:
? Prolonged periods sitting at a desk and working on a computer.
? Must be able to lift up to 25 pounds at times.
