PRINCIPAL DUTIES AND RESPONSIBILITES:

  • Position reports directly to the Chief Executive Officer. Performs administrative and organizational duties for the Chief Executive Officer (CEO) and Chief Medical Officer (CMO), including editing and maintaining correspondence, filing, and scheduling appointments via Outlook Calendar.
  • Liaison between all departments that answer directly to the CEO and CMO.
  • Responsible for calendar management including meeting logistics, creates agenda, conference call set-up, and records accurate meeting minutes.
  • Draft and edit correspondences
  • Maintain all up to date provider documents for credentialing (i.e. license registration & DEA, copies of completed CME courses etc.) on behalf of the CMO
  • Creates and maintains on-call schedule and ensures distribution of schedule to all responsible staff.
  • Schedules appointment for providers to meet with affiliated hospitals for hospital privileges and re-appointments as needed.
  • Liaison for Providers and Pharmaceutical Representatives;
  • Schedules and provides administrative support to the CMO for all provider related meetings and events.
  • Coordinates the scheduling of chart reviews and/or audits (dates and times, room reservation)
  • Liaison between Chief Executive Officer and Board of Directors; provide administrative support for all Board related activities including attending all Board monthly meetings and special events.
  • Distributes mail for the CEO and CMO; reviews incoming correspondences, submissions and reports to determine significance and appropriate follow up.
  • Arranges travel arrangements, hotel accommodations, transportation, and prepares expense reports.
  • Performs all other duties as assigned by the CEO and CMO
  • Assists in planning for company-wide events (e.g.: corporate holiday party, summer picnic, and other events as requested) by the CEO.
  • Creating the new hires on-boarding schedule for the CMO and under the CEO.
  • Monitors and maintains the company’s meeting room schedule.
  • Maintains the Standard Operating Policies and Procedures Manual and ensures it gets reviewed every two years.

KNOWLEDGE, EDUCATION,SKILLS AND ABILITES REQUIRED:

  • HS diploma required; BA/BS preferred; two years of office experience preferred; 1+ years of previous experience in community healthcare or healthcare environment preferred;
  • Incumbent must have excellent written and verbal communication skills;
  • Must possess strong organizational skills with keen attention to detail and accuracy;
  • Must able to handle multiple tasks and adhere to deadlines;
  • Must be proficient in MS Office Suite (Excel, Word and preferred knowledge of Microsoft Access);
