Job Description

BBPM (Beacon Bay Project Management) is looking for an experienced Project Coordinator located in the WEST COAST AREA. MUST have experience working as a PC for hotel construction projects.

1. MUST BE KNOWLEDGEABLE IN CONSTRUCTION.

2. We want this individual to preferably live in the West Coast (Arizona, California, Colorado, Idaho, Montana, Nevada, etc.).

3. Project Coordinator with hotel construction industry experience preferred, but not required if a candidate has a strong construction background with PC experience. Will train in hospitality industry if needed.

This position is remote and requires someone who is detail-oriented and with great multi-tasking abilities, along with excellent communication skills.

Primary Job Duties

· Create and maintain project directories for each project.

· Receive, review and assist in processing of all invoices and tracking to ensure paid on-time through project accounting team.

· Inform hotel GM’s of milestones, provide key updates and set-up on-site visits.

· On-site travel and assistance of all projects assigned to your manager. Including but not limited to, initial project assessments in NoteVault, The GC pre-bid and pre-construction meetings, ADA / first turn of guestrooms review with architect and PM.

· Track and maintain all deliveries to projects. Update FF&E deliveries and damage and loss reports. Track and monitor damage and loss reports. Review BOM and specific FF&E quantity take offs, track the ordering process to ensure that all FF&E arrives on time for project start.

· Prepare bid documents, request for proposals and bid leveling documents and analysis.

· Data entry of project status, notes, change order requests, change orders and potential change orders in project log, as part of the Weekly Report template.

· Data entry of schedule updates and milestones events of each project, including OOO Schedule.

· Participate in all OAC and design meetings, update and publish meeting minutes and agenda.

· Assist in close-out of the project with completed work and punch lists, turnover of all materials, warranties, and training of new equipment to hotel staff.

· Assist in maintaining and fostering existing client/owner relations to utmost ability.

· Scheduling and setting up all project related conference calls, ensuring call in information and attendees are coordinated.

· Assist in process improvement, best practices, lessons learned, and systems development for improved management.

· Assist in obtaining referrals, testimonials, photographs and videos.

· Review submitted expense report to ensure it is within Beacon Bay Project Management Company Policy (no first-class airline tickets, economy rental car, no alcohol reimbursement).

· Coordinating building permit process from architect submission to GC procurement of permit issuance.

· Work within assigned Project Management team, with support of Project Management VPs, for the maximum profit of the team.

· Ensure the responsibility matrix for each project is complete for OFCI, CFCI, OFOI.

· Other tasks as required by the Project Manager and/or Project Executive

Education & Qualifications

· High School Diploma, GED or equivalent

· Professional knowledge and/or work experience in construction

- Hospitality industry experience preferred, but not required

· 2-4 years of prior professional experience in a general office setting

· Read, interpret, and explain policies and procedures.

· Evaluate project status to determine and fulfill next steps.

· Communicate effectively both orally and in writing.

· Work independently, set priorities, and meet deadlines in a timely manner.

· Dedicated to meeting the expectations and requirements of the external and internal customer, acts with customer in mind, establishes and maintains effective relationships.

· Intermediate skills in Microsoft Word, Excel, PowerPoint and Outlook are preferred for this position. Microsoft OneDrive and SharePoint knowledge is also beneficial.

· Keyboarding skills are required for this position.

Physical Requirements

· Frequent travel, including some air travel for client events, trade shows, and other commitments.

· Ability to see clearly at a distance of 20 inches or less to read documents and/or view computer screen.

· Ability to hear and talk in order to effectively communicate in person and via telephone on a daily basis.

· Requires the ability to use hands/fingers to enter, retrieve and/or manipulate data using a computer keyboard.
