Job Description

HR Administrative Assistant

***Purpose of Job

:* This position reports HR Manager, then Vice President (VP) of Finance. HR Administrative Assistant is responsible for daily clerical functions of the department assisting all HR staff as needed.

***Minimum level of education / training required/certificates/licenses:


This position requires a General Educational Diploma (GED) or High School Equivalency (HSE) diploma. Extended education is a plus

***Minimum experience required:

*** Verbal and written communication skills, understanding of computers and basic math

***Essential Responsibilities:


  1. Ability to multi-task and remain productive at all times.

  2. Presents self in a professional manner at all times. This includes appearance, behavior and mannerisms.

  3. Efficiently uses computer knowledge to create and update presentations, charts, spreadsheets, documents, etc.

  4. Proofreads HR documents accurately and suggests any needed changes.

  5. Efficiently keeps HR form bins up to date and fully stocked weekly.

  6. Accurately scans, files, copies, shreds as well as any other administrative duties assigned. This includes but not limited to new hire paperwork, evaluations, vacation forms, training, quality, warnings, etc into appropriate file or employee file on the server.

  7. Proficiently sets up conference rooms when needed for meetings. Timely reserves rooms. for meetings.

  8. Actively assists in event planning and/or processing the following: wellness, company events, scholarship program, retirements and other similar type programs.

  9. Assists the Sales Assistant with the Christmas Card Contest.

  10. Actively assists with recruiting including but not limited to: setting up interviews; running background checks; and performing drug screens. Also creates and updates job postings including online and community databases, help wanted ads and daily filing of applications. This includes automatically moving those applications older than 6 months to designated location and emailing out any applications that come in pertaining to an open jobs to the corresponding management.

  11. Efficiently and accurately assists with: new hires including preparing packets, creating employee folders, manuals, and taking pictures; new hire and termination benefit entry; processing of job and shift changes in a precise manner; ensures that new hires turn in their benefit packet in a timely manner and follows up on those that do not turn them in the 1st

    week; accurately reviews each application for missing data and inaccurate information; and follows up with new associates on needed information when necessary.

  12. Efficiently terminates and moves the Contract workers folders in w:drive on a daily basis.

  13. Accurately completes the termination checklist for all BTD employees FT and PT within a week of the termination.

  14. Assists HR department with open enrollment for insurance including copying forms, answering questions and scanning information with accuracy.

  15. Professionally assists with new hire, post accident, and random drug screens and ensures the drug screen cabinet is stocked at all times.

  16. Performs employment verifications in a timely manner.

  17. Posts needed items on the bulletin boards throughout the shop and pulls expired items down in a timely manner. Not only company but employee bulletin boards.

  18. Orders flower arrangements, gets signatures on cards, and sends cards in a timely manner for sympathy, get well and thinking of you. Sends birthday and welcome cards in a timely manner.

  19. Professionally greets visitors and routes them to the correct person.

  20. Maintains an accurate employee discount ticket list and assists employees with any issues pertaining to them. Also must update Plex and keep the links up to date on BTD website.

  21. Waters and cares for the plants in the HR department weekly.

  22. Assists and participates in Career fairs or school/community events in a professional manner.

  23. Assists Accounting department one day a week with needed tasks or items.

  24. Professionally assists with answering phones as needed and is backup for daily mail sorting and delivery within BTD.

  25. Efficiently performs data entry for open enrollment, projects, training, and other HR or Accounting related items.

  26. Effectively prints and enters forklift badges in timely manner.

  27. Precisely inputs all applications and resumes in Plex weekly.

  28. Audits training sheets for quarterly meetings efficiently.

  29. Creates the Shop Talk list in a timely manner and sends notifications out to the appropriate people. Also responsible for prep for Shop Talk meeting in a timely manner which includes purchasing snacks, drinks, needed paper products for the Shop Talk meeting.

  30. Accurately maintains the security system by obtaining photos, printing badges, and entering data to active and/or deactivate a badge.

  31. Keep the HR supply cabinets stocked with inventory. Distribute, scan usage of these items and keep the system current with correct pricing & inventory numbers. Accurately correct any data entry errors and with the help of Purchasing add and/or delete items on inventory based on occasional inventory counts.

  32. Repeat Items: Accurately sends out quality training, TS reminders, safety inspection reminders.

  33. Accurately updates the SDS note in Plex annually.

  34. Runs errands as needed for the HR department in a timely manner.

  35. Accurately assists and prepares employee mailers when needed.

  36. Professionally maintains a high degree of confidentiality

  37. Based on company needs a flexible work schedule and/or overtime is needed.

** Employee is responsible for complying and supporting any environmental policies and programs put in place by Batesville Tool & Die (BTD). Employee may not bring any environmentally hazardous substances or compounds into BTD and is always conscious of the impact on the environment. Support and adhere to Technical Specification (TS) and International Organization for Standardization (ISO) activities and procedures.

***Physical Demands

The employee is continually required to talk and/or hear. The employee is frequently required to use hands for typing and function in the department. The employee occasionally is required to lift, bend, twist, push, pull and stoop and must be able to operate a vehicle. The employee will also be required to frequently lift up to 10 pounds and occasionally lift up to 30 pounds and climb up and down stairs.

While performing the duties of this job, the employee is continually exposed to working with others and alone and mainly working inside.
