Job Description

Role

To provide customers with the highest level of customer service by co-coordinating customer delivery requests with production, packaging and trucking abilities to deliver the correct products on time every time. Suggest new ideas for improvements.

Responsibilities

Order Taking

Take some phone orders and write them up using POS computer system c/w all delivery instructions. Efficiently handle customer's order changes. Back up the retail sales staff when help is required at the sales counter or on the phone answering. Contact customers when trusses are finished being built or when special orders have arrived ready for shipment. Will do occasional buying if we are short to fill in an order, go to the local wholesalers

Planning and Scheduling

Efficiently schedule trucks (seven to ten) and drivers to get building materials delivered or picked up by applying the following planning methods:

                      

§  Plan first loads of day ahead of time so they can be preloaded before shift starts. ( planned by 3PM )

§  Arrive by 6:45 AM or before to finalize 1st load loading and shipping.

§  Obtain the most flexible delivery times possible.

§  Obtain the best delivery instructions available along with phone numbers.

§  Combine loads along the same routes to improve efficiency.

§  Arrange for loads to be loaded on unused trucks ready for shipment when the driver returns.

§  Allow sufficient time for orders to be assembled. Maintain efficient communications with the yard supervisor.

§  Make delivery arrangements ahead of time, which may include evening calls.

§  Call all COD delivery customers before loading trucks to verify they will meet the driver to pay.

§  Call all Truss delivery customers before loading trucks to verify they are ready and will meet the driver.

§  Keep copies of in-progress loads separated by driver for traceability

      (both deliveries and pick-ups).

§  Pre-contact customers to resolve any delivery instruction concerns.

§  Pre-plan over-width truss loads to suit city bylaw timing and prepare escort driver availability.

§  Evaluate the size of loads, site requirements and storage locations at the site then use the appropriate truck.

§  Maintain constant awareness of drivers through the use of two-way radios.

§  Advise the Truss Plant Supervisor of any delivery changes, that may alter their production schedule.                            

§  Advise Saturday shipper of all shipping commitments and driver personnel on Friday PM. 

§  Pre-call vendors to verify Po’s are ready for pick-up & inform them we’re coming. 

§  Evaluate and inform others when shipping is too busy to make pick-ups so other arrangements can be made.

§  Make use of trailers for pickups by dropping them off for night loading at our larger suppliers.                            

§  Maintain a posted list of any site condition/accessibility concerns.

Office Paperwork

Maintain a consistent, highly organized, and efficient system of storing all open orders for delivery. Review the open order reports bi-weekly to ensure all open orders are present accounted for and still valid. Verify drivers have properly filled out all paperwork before turning over the orders, returns, or packing slips to other staff.  Issue pink copies of sales orders to the Yard Supervisor for packaging. Follow a consistent labeling system of identifying order urgency requirements. Inform the Yard Supervisor of special order items on these pink copies of the sales orders. Maintain the return backup copies, and forward completed return for credit forms to the bin in the sales office.

Skills Required:

Must get along with others easily, maintaining good working relationships with staff and customers.  Must be well-spoken. Must have a good telephone technique.  Must have the ability to consistently portray a positive attitude.  Must be self-motivated. Must work well under pressure (driver, customer, salesman demands, and truck breakdowns). Must be a highly organized person capable of meeting multiple deadlines through efficient time management. Must take direction well. Must have willingness and ability to learn efficiently and work within established procedure guidelines. Must require little supervision and be willing to put in long hours in the busy seasons.  Expected to maintain product knowledge of all products we sell. Must be knowledgeable in truck capacity abilities and booming abilities. Must be knowledgeable in delivery routes and the time it takes trucks to travel them. Must know and understand all driver procedures and policies. Must be proficient in customer needs assessment, problem-solving and clarifying information.
