Administrative Assistant III - Local Market & Public Policy

Job Description:
Performs diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence. Usually relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. May be involved in high-level client contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs. This role will support two managers with multiple responsibilities.
Market President Support

  • Phone & Calendar support
  • Travel & Appointment scheduling
  • Organizing Market President Team Meeting and tracking attendance
  • Follow-up on routine constituent internal/external banking service issues
  • Compile list of internal/external thank you notes, work anniversary, recognition notes
  • MP related activities T&E budget tracking /reimbursement
Public Policy Support
  • Ensure all state lobbyist registrations and reporting are in compliance and current
  • Maintaining and reviewing Public Policy T&E budget
  • Organizing Market President Team Meeting and tracking attendance
  • Tracking meetings the occur with or without external lobbyist
  • Compiling/updating list of targeted influencers
Required Skills
Strong Word, Excel, PowerPoint & Outlook skills
3-5 years administration / business support experience
Ability to Multi-Task, self-starter requires minimum supervision
Ability to proactively look for potential conflicts or issues and resolve
Strong attention to detail
Ability to prioritize and work well under pressure
Ability to obtain information in a timely and efficient manner
Effective comprehension, listening, verbal and written communication skills
Ability to navigate in a constantly changing environment and under tight deadlines with high level of accuracy
Strong relationship skills and ability to work with a variety of constituent groups
Ability to interface with Senior Executives
Calendar management
Desired Skills
BS/BA
Visio skills a plus
Proficiency in Concur & Ariba systems
Proficiency in internal technology ordering systems
