The Job Details are as follows:

ROLE OVERVIEW
In the role of Office Administrator, in the New York office it is anticipated that the employee be able to work collaboratively and effectively with all levels of management, staff, clients, external partners, supplier and regulatory agencies. The employee will be responsible for providing administrative support to ensure the operation of the office. The employee will be responsible for:
Ensure the optimum comfort of all guest in reception area / meetings and accommodate special requests
Maintain conference room schedule/calendar, coordination of meetings and calls
Prepare conference rooms prior to guests arrival; assisting with coordinator/setup of catering for meetings
Perform a variety of administrative duties, screening and routing incoming calls, booking travel & preparing expense reports
Work closely with facilities team for efficient office operations and all office-related activities
Assist with food, catering, office supplies ordering and organization
Liaise with vendors and help with vendor selection as needed
Assist in providing on boarding support for new hires
Responsible for printing and filing materials as needed
Managing courier services
Work closely with Partners, Marketing, Business Development and HR teams on special projects and tasks
Support to the following teams, upon request:
o Portfolio Managers
o Management Teams
o 3 Co-Founding Partners & their Executive Assistant
o Marketing Team
o HR Team
o Administrative Team

QUALIFICATIONS & REQUIREMENTS
In order to effectively represent the Company and communicate with clients, the employee must be someone who has:
Ability to prioritize and manage multiple tasks and projects concurrently to meet/exceed deadline
Strong desire to work collaboratively with the team
High standard of professionalism in all dealings with internal staff, external partners, and clients
Problem solving skills and ability to identify and implement appropriate solutions
Consistent work ethic through hard work, confidence and effort
Strong written and verbal communication skills
Outstanding attention to detail and strong organization skills

EDUCATION, TRAINING & EXPERIENCE
Previous support experience required
Experience working in Microsoft Office and Microsoft Suite
Prior experience in financial service industry preferred

Availability to work 7am-4pm

Bachelor's Degree required

2-4 years + experience
