THEGIST:

SFPublic Relations and Communications firm seeks an Executive Assistant that is asmart communicator to support their CEO and COO. The EA executes a vast scope ofresponsibilities including managing calendars, arranging travel, managingcritical meeting notes and action items with follow up, conducting research,preparing statistical reports, drafting correspondence, greeting visitors,arranging conference calls, and general business and personal matters uponrequest. This position will work closely with and report into the CEO and COO.

THENITTY GRITTY:

• Anticipateand proactively manage tasks for the CEO and COO

• Heavyscheduling; managing schedules and confirming meetings and appointments of theCEO and COO’s Outlook calendar with consistent attention to detail

• Setup, prepare for and attend all meetings (in-person and virtual) held by or onbehalf of the CEO and COO, which may extend into other management team memberrequests

• AssistNew Business Team and help coordinate CEO and COO schedules for any newproposals and pitches

• Maintainand deliver meeting minutes for weekly Management and Senior Leaders meetingsincluding note taking and action tracking, weekly wrap-ups, client meetingnotes and significant project management

• Handledocument and presentation prep, reports, information-gathering, etc., asneeded, and ensure participants are aware of and prepared for all meetings inadvance

• SubmitCEO and COO’s monthly expense reports for reimbursement

• Assistwith internal agency or executive networking events by helping with planning,logistics and expense tracking

• Liaisewith the travel representative on all CEO and COO travel arrangements (bothbusiness and personal, as needed)

• Maintainaccurate detailed client database for tracking of significant dates (i.e.employee anniversaries, birthdays, holidays) and manage all client gifting fromthese events

• Ensureall new contacts are entered into the database and personal Outlook contactsfor CEO and COO are maintained and accurate

• Buildand maintain positive relationships with key stakeholders and leaders on behalfof the CEO and COO, internally and externally

• Coordinatewith Head of HR to schedule interviews for significant candidates / roles inthe company

• LightPersonal Assistance for CEO including: Personal appointments and family bookings, Eventplanning, Submit CEO vacation plans, Lunch/meals procurement at times, Generalerrands and personal support as reasonably requested

THEESSENTIALS:

• 5+years proven track record managing the fast-paced and high-impact roles of CEOand other C-Suite executive support

• Advancedproject management skills

• AdvancedMicrosoft Office skills with heavy focus on Power Point and Excel

• Expertlevel of office communications tool management (slack, zoom, other multi-sitecommunications tools)

• Ableto manage many projects at once, on time, with total efficiency andeffectiveness

• Comfortableworking in a very fast-paced environment with advanced level technology toolmanagement

• Attentivelistener and Ability to multi-task and anticipate needs before

• Abilityto be agile, flexible, and on-call after hours

• Clearcommunicator both verbally and written

• Multi-taskerwith keen attention to detail; excellent at managing multiple projects

• Abilityto work in fast pace environment

• Abilityto work under pressure, keep calm in the face of multiple priorities anddeadlines

• Abilityto learn and understand team members and build positive, effective workingrelationships across the agency
