The Rader Group - Financial Assistant

 

Position Overview

The Financial Assistant supports the Finance department with day-to-day clerical functions. Duties include office assistance, processing purchases, and general financial duties. The Financial Assistant reports directly to the Controller and may be assigned tasks by any member of the administrative team.

Qualifications

  • Bachelor’s Degree in Accounting or Business preferred; Bachelor’s Degree in any field required

  • Relevant work experience in Accounting and/or Business preferred

  • Excellent verbal and written communication skills

  • Ability to make sound decisions when presented with a problem

  • Excellent organizational skills

  • Ability to multitask and meet deadlines efficiently

  • Proficient to Advanced knowledge of technology including Quickbooks, Cloud Storage, Google Applications, and Microsoft Office Applications including Excel

 

Responsibilities of the Financial Assistant

Purchase Orders and Accounts Payable

  • Process incoming purchase orders, receive Controller approval, then log into PO binders

  • Assistance with placing orders for items that have received a purchase order if needed

  • Manage ongoing school facility projects; act as a liaison for facility vendors in conjunction with Controller and the Director at each school site

  • Maintain project management files for on-going school facility projects

  • Receive invoices and prioritize payments with Controller approval

  • Code invoices to the proper account and function

  • Maintain accounting ledgers by verifying and posting account transactions

  • Verify vendor accounts by reconciling monthly statements and related documents

  • Maintain historical records by filing documents

  • Reimburse employees by verifying expenses

  • Maintain attention to detail in order to sustain accurate accounting records

 

General Finance

The Financial Assistant works directly with the Controller to complete the following finance tasks:

  • Assist with bank reconciliations of all bank accounts

  • Assist with audits, journal entries, and other financial duties are required at the request of the Controller

  • Process requirements of the Food Service program which includes: preparation and submission of the annual application; dealing with billing and rates with the program; Process of daily reports and entering deposits into Quickbooks

  • Prepare and file applications for the E-Rate federal program

  • Continue professional education to stay up to date on the Food Service and E-rate programs

  • Maintain bus inventory and coordinate maintenance to the bus fleet.

General Office Assistance

  • Provide clerical assistance to the administrative team including (but not limited to) making copies and filing

  • Attend to phone calls and direct phone calls in a courteous, professional fashion

  • Reply to emails and phone requests

  • Greet and direct visitors

  • Receive, sort, and distribute incoming correspondence

  • Coordinate and oversee internal vendor services

  • Keep management abreast of any outstanding office facility issues

  • Monitor school websites and audit weekly for errors; update as necessary

  • Add approved Board of Director meeting agendas, minutes, budgets, and audits to school websites

 

Responsibilities of a Professional Employee

  • Maintain professional personal appearance

  • Follow provisions of Employee Manual including PTO policy

  • Remains professional during all communications within and outside of The Rader Group

  • Possesses the ability to be tactful when dealing in difficult situations

  • Researches and resolves discrepancies or issues in a very timely fashion (within 24 hours)

  • Maintains confidentiality of all sensitive data

  • Accomplishes accounting and organization objectives and mission by completing related results in an independent manner with extraordinary accuracy

  • Demonstrates an ability to manage a variety of priorities while meeting deadlines

  • Use resources prudently

  • Evaluate problems objectively and identify appropriate solutions before approaching a supervisor; Seek advice only when appropriate to make decisions

  • Be flexible and adapt to change in order to accomplish the mission of The Rader Group and the schools it serves

  • Foster positive teamwork with colleagues; Contribute to the resolution of conflicts

  • Accept and follow direction from supervisors consistently and without delay

  • Be prompt and report to work on time and remain for the total workday

  • Accept responsibility and leadership roles when given the opportunity

 

Working Conditions

  • The Financial Assistant position is a twelve (12) month, full-time position, with two (2) weeks paid leave annually.

  • The employee shall work eight (8) hours per day, excluding lunch, and shall have all paid school holidays.

  • The employee shall comply with the staff dress code.

  • Employment is at-will. This means that employment may be terminated by either party, at any time, without cause or prior notice. In the event of termination by either party prior to the completion of the school year, remuneration shall be based upon specific services provided and payment will be made accordingly.

  • Employees shall be evaluated at least annually, based upon the responsibilities indicated above
