Position: Executive AssistantIn this role as an Executive Assistant, you will perform a variety of tasks that require discretion and independent judgment in order to fully support our Company’s senior level executives. Your responsibilities will include considering, comparing, and evaluating different courses of action and then making a decision or recommending a decision on sufficiently important and consequential matters that go directly to the heart of business operations. This would include analyzing and maintaining confidential information such as personnel documents, contracts, proprietary information and trade secrets. You will have access to email and social media accounts where you will be responding on behalf of Senior Executives. You will also be required to communicate on behalf of Senior Executives and be their liaison to organize and administer all aspects of the business when they are out of the office traveling. You will also be responsible for arranging travel and assisting with the production and execution of live events and training. Responsibilities:· Experience with social media platforms (Twitter, Facebook, Instagram, etc.)· Ability to delegate, prepare and compose content while working under pressure.· Provides wide range of complex office support.· Serves as principal contact and liaison with all employees/guest and external contacts.· Manages complex calendars, arranges for meetings, appointments and travel arrangements.· Coordinate communication and handle wide-range information dissemination.· Maintain and support personnel records.· Interprets and announces updates and event information to office team(s) as needed.· Pro at maintaining calendar, conference calls, travel and all business functions.· Ability to effectively anticipate needs.· Maintain contact databases, social media and mailing lists with current updates.· Contributes to unit effort by accomplishing related duties as required.· Assist with recruitment by sourcing candidates. Requirements: · Bachelor’s Degree in Business, Marketing, Hospitality, Communications or similar relevant field, preferred· 5 plus years’ experience as an Executive Assistant· Tech savvy with Apple/Mac computers and products· Strong professional, verbal and written communication skills· Superb service-oriented mindset· Outstanding organizational and time management skills· High level of attention to detail while performing a variety of different tasks as needed· Demonstrated ability to work productively with counterparts in a cross-functional capacity· Must be able to respond quickly in an environment of changing priorities· Ability to effectively prioritize and manage your time to address multiple responsibilities in a fast-paced, professional environment.· Positive, team-oriented attitude· Experience with public relations, marketing or social media a plus Skills:· Written and verbal communication skills· Reporting skills· Supply management· Scheduling· Computer software skills including Microsoft Office· Organization skills· Time management skills· Presentation skills· Travel logistics· Promoting process improvement· Exercising independent judgement This is full-time Monday to Friday 9am to 6pm, with additional hours/times as needed in Boca Raton, FL.
