Job Title:                     Manager - Spare Parts, Shipping and Receiving 

Department:              Administration

FLSA Status:               Exempt

 

Summary

 

Under the direction of the CFO, the Manager - Spare Parts, Shipping, and Receiving provides management to Parts and Shipping/Receiving/Warehouse employees, is responsible for the timely maintenance of stock and re-stocking, able to track and determine the need for required parts and represents BLM GROUP USA in the highest of standards with both external and internal customer service. 

 

Essential Functions

Spare Parts Maintenance

 

  • Maintains proper inventory of parts and re-orders when necessary.
  • Determine urgency of stock parts currently on hand and develops system of organization to quick access.
  • Assumes responsibility for all warranty/RMA parts that need to be returned to stock and/or returned to supplier for repair.
  • May resolve customer issues and complaints as they relate to product orders.  Directs larger complaints to the appropriate department Manager. 
  • Identify parts that have no number. Ensure all parts get labeled with numbers. Maintains a spreadsheet of stock with corresponding numbers.
  • Work with Administrative Staff to identify variations of inventory and make adjustments as necessary.
  • Work with Administrative Staff to matching USAINFO and KARDEX.
  • Develop spare parts kits.
  • Research possible United States suppliers, meet and negotiate beneficial agreements, and present these benefits to upper management.
  • Works with the Service Department to develop consumable part packages. 
  • Works with the Service Department to identify what part that BGUSA should keep in stock.
  • Negotiate best contracts possible for logistics and suppliers domestic and international.
  • Travel regularly to headquarters in Italy and present requests and challenges to the counterpart and/or upper management in Italy.
  • Work within Italy’s directives to maintain compliance.
  • Continually improve all existing processes and communications with internal and external customers.
  • Other duties as assigned by management.

 

Customer Service

 

  • Provides Order Acknowledgments to the Warehouse for processing and to Accounting for invoicing to the customer.
  • Provide Return Material Authorization (RMA’s) for customer returns; completes a Disposition Form and emails it to the customer. 
  • Strong leadership is required to keep the attitude of the department positive and optimistic with the goal being to provide the best customer service experience possible.
  • Continually improve all existing processes and communications with internal and external customers.
  • Other duties as assigned by management.

 

Managerial Responsibilities

 

  • Supervises employees within department to ensure efficiency of the department.
  • Works with employees to answer questions and complete certain items such as performance evaluations, pay raises, etc.
  • Works with employees to ensure their professional development, and all necessary training is kept up to date.
  • Make sure the team has the proper tools they need and promote improvement in every area.
  • Implement Continuous Improvement ideas that improve processes for the department as well as internal and external customers.
  • Provide team building exercises to promote inclusiveness to other departments.
  • Provide weekly or monthly KPI reports company-wide to show team’s performance.
  • Prepare and manage departmental budget.
  • Other duties as assigned by management.


Qualifications

 

  • Associate degree required, Bachelor’s degree preferred
  • 5 or more years of customer service experience required
  • 5 or more years of management experience 
  • Understanding of the mechanical requirements for BLM’s machines
    • Ability to conceptualize how the machines work, and what the needs of end user may be
  • Ability to communicate and work well with others

 

Licensing/Certifications

 

Valid Michigan Driver’s License with no more than two (2) points on a driving record within a three (3) year period

 

Knowledge, Skills, and other Abilities

 

  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Able to effectively use the Internet
  • Able to accurately enter data into a computerized system.   
  • Proven customer service skills with a primary focus on customer relationships
  • Highly organized

  • Must be able to work effectively with minimal supervision

  • Familiar with and able to interpret packing slips
  • Experience with UPS/FEDEX online software
  • Able to fill out bills of lading and be familiar with various forms that are used and required by the major freight carriers 
  • Able to estimate weight and use that information to calculate the cost of shipping 
  • Familiar with proper packaging methods
  • Familiar with common material handling equipment including a pallet jack and forklift

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral visions, depth perception and the ability to adjust focus.
