HR Specialist

Primary Purpose:

We are looking to add a talented HR Specialist who will partner closely with other members of the HR team to provide day-to-day support and assistance to the BGM Group of companies in the areas of payroll, benefits, employee engagement, new employee onboarding, employee database and record keeping and general HR administration.

 

As part of an HR team, this position will also assist with other areas as needed to meet HR initiatives.  This could include talent acquisition, policy and procedure implementation, employee relations, performance management and training and development.  

 

This position offers a hybrid schedule with the expectation of a few days in the office each week.

 

Responsibilities include but are not limited to:

Payroll:

  • Completes the multi state, multi-EIN, semi-monthly payroll process in a timely and thorough manner
  • Enters personnel changes, benefit adjustments, and applicable earning and deduction changes as notified
  • Maintains accurate employee and pay information in HRIS
  • Acts as the primary contact for employee timesheet and payroll inquiries
  • Is the primary contact for payroll provider for all local, state and federal tax requirements including quarterly tax filing and end of year W-2 reporting
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions
  • Calculating and creating out-of-sequence pay entries, retro pay, and adjustments
  • Assist with various payroll, tax, and benefit reconciliations and audits
  • Analyze and set up accurate payroll withholding for federal, state, and local taxes
  • Multi EIN/State/Local taxing set up and reporting

Benefits:

  • Administers benefit enrollments, life event changes, COBRA, benefit adjustment requests and life insurance claims in a timely manner
  • Reports benefit premium adjustments as needed for Payroll (refunds or arrears)
  • Maintains employee benefit files and updates employee payroll records for benefits
  • Handles benefit inquiries to ensure equitable, quick, and courteous resolution when needed, escalating as needed and appropriate
  • Performs HSA, FSA Medical/Dependent enrollment
  • Manages benefits invoicing and reconciliations, ensuring accuracy and making corrections as needed
  • Prepares and delivers new-hire benefit orientation
  • Plays integral role in Annual Open Enrollment coordination, presentation and change processing
  • Works with benefit vendors to solve employee issues

Employee Engagement:

  • In collaboration with other team members, plans and executes events to promote current employee engagement across all organizations
  • Positively influence the experience of our current employees by gathering feedback and suggesting improvements
  • Represent Human Resources as a visible, upbeat, engaging, approachable and professional team member
  • Be an advocate and champion for innovative programs that will support the business and impact employee engagement

General HR Administration:

  • Respond to general inquiries (employment verifications, employee questions, etc.)
  • Create HR Documents for distribution including contracts and agreements, payroll/bonus notifications, recruiting notifications and general HR updates
  • Assist with general HR policy and procedure administration. Answer questions from all levels of employees on how to appropriately apply and utilize policy and resources
  • Coordination of HR onboarding tasks
  • Attending recruiting events (primarily local)
  • Assisting with training and development initiatives

Preferred Education, Experience & Skills:

  • BA/BS degree in Human Resources, Accounting or another related field.  Will accept equivalent years of direct experience in lieu of degree
  • Minimum 3 years of experience in processing payroll
  • Knowledge of multi state payroll and tax reporting and regulations
  • Experience with or intermediate knowledge of employee benefit plan administration
  • Demonstrated experience in general HR competencies such as recruiting, HRIS, employee engagement and employee relations
  • Administrative knowledge and experience in human resource tasks including but not limited to record keeping, benefit administration, training and development, creation of job descriptions/job postings reference checking, new hire orientation, recognition programs, employee communications and event support
  • Ability to provide input and feedback to management and apply conflict resolution
  • Execute skills in independent judgment and discretion while utilizing company policies and practices to determine appropriate action
  • Exceptional written and communication skills
  • Strong sense of urgency and ability to prioritize
  • HRIS navigational skills
  • Proficiency with Microsoft Word and Excel
  • Ability to work effectively and efficiently with interruptions
  • Ability to communicate in a friendly, professional manner
  • Strong attention to detail
  • Working knowledge of basic employment laws and typical HR policies and procedures
